EEAST Tactical Operations Centre Administrator
The EEAST Tactical Operations Centre is a key 24/7 function, coordinating the day-to-day work of a busy ambulance service, including a key role in managing the trust's response to major, critical, complex and significant incidents and coordinating the response to business continuity incidents and other disruptive events.
The TOC is recruiting for a part-time administrator (18.75 hours/week) to support the work of the department - in particular the trust's dynamic team of Duty Tactical Commanders and the EOC Support Service Manager - in maintaining the smooth running of the TOC, whilst also providing support to the EOC Business Continuity & Resilience Team as needed.
The ideal candidate would have strong attention to detail, good written and verbal communication skills, and high accuracy when dealing with data, as well as a high level of comfort using Microsoft Office products.
As the only administrator within a busy and dynamic department, autonomy, teamwork and flexibility are essential, as is the ability to manage your own workload and communicate effectively with colleagues at all levels.
An absolute commitment to maintaining the confidentiality of confidential or sensitive information is utterly essential, as is the ability to work strictly within Information Governance requirements.
This role is generally suitable for flexible working - with the exact working pattern to be agreed as part of the appointment process.
Responsibilities
- Compliance related administration (e.g., driving licence checks).
- Maintaining incident response packs, including auditing packs and updating documents and plans (etc).
- Supporting staff management (e.g., arranging formal meetings and drafting/sending outcome letters, updating staff files).
- Curating departmental records (particularly acting as custodian to a busy and complex inbox and ensuring documents are kept up-to-date).
- Administrative support to critical operations (e.g., updating the on-call rota & wallboards, maintaining the accuracy of records and logs, etc).
- Administrative support to the EOC Support Services Manager (e.g., Diary management, inbox management, minute taking, etc), and the Duty Tactical Commander team if required.
- Providing additional administrative capacity to the EOC Business Continuity & Resilience Team during projects or busy periods.
- Supporting project work (e.g., data input, drafting of documents, gathering of information, etc).
- Business support (booking travel & accommodation, organising meeting rooms, arranging pool cars, etc).
- General support to the department (e.g., ordering stationery, ensuring IT & estates defects are reported, maintaining supplies, ordering uniform, ensuring good order within cupboards, etc).
- Should an incident occur whilst on duty, following completion of an accredited training course, act as the Loggist for the Duty Tactical Commander.
