THE ROLE

The Talent Acquisition Coordinator will support Ascot Lloyd's recruitment and attraction activity across business-as-usual vacancies, strategic hiring activity and organisational change needs. The role will provide practical coordination across the recruitment lifecycle, supporting hiring managers, HR Business Partners and the wider HR Services team to deliver a consistent, efficient and positive candidate experience.

The role combines recruitment coordination, candidate attraction, sourcing support and recruitment reporting with wider support across HR Operations projects, process improvements and operational tasks. This role is suited to someone with strong administration, coordination and organisational skills, who is comfortable working collaboratively, managing detail and supporting a busy HR Services function.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Coordinate recruitment activity for approved vacancies, including vacancy set-up, advert placement, candidate communications, interview scheduling and recruitment administration.
  • Support hiring managers and HR Business Partners with recruitment processes, ensuring activity is well organised, timely and aligned to agreed process steps.
  • Arrange interviews, assessments and candidate touchpoints, helping to ensure a professional and positive candidate experience throughout the recruitment journey.
  • Create and maintain accurate recruitment records, vacancy trackers, candidate information and supporting documentation.
  • Support offer administration and handover activity into onboarding, ensuring relevant information is passed to the appropriate HR Services colleagues.
  • Assist with direct sourcing activity using agreed recruitment tools, talent pools and professional networks.
  • Support candidate attraction activity, including careers page content, vacancy campaigns, internal referral promotion and employer brand materials.
  • Maintain candidate pipelines and support market mapping or talent availability research for priority roles where required.
  • Produce recruitment management information, activity updates and vacancy reporting to support decision making and workforce planning.
  • Support data quality across recruitment records, ensuring information is accurate, up to date and maintained in line with company procedures.
  • Assist with recruitment supplier coordination, agency liaison and PSL activity where required.
  • Support HR Operations projects and change initiatives, including project administration, action tracking, documentation updates and follow-up on agreed deliverables.
  • Assist with process improvement activity across HR Services, including process mapping, guidance notes, forms, templates and colleague communications.
  • Provide flexible operational support across HR Operations, Payroll, Benefits, HRIS, MI and Talent Acquisition during periods of peak demand or change.
  • Support testing, implementation and documentation activity linked to HR systems, recruitment systems and process changes.
  • Contribute to continuous improvement across HR Services, with a focus on employee experience, operational efficiency, data quality and clear ways of working.
  • Maintain confidential and sensitive information, ensuring personal data is handled appropriately and in line with company requirements.

SKILLS AND BACKGROUND

  • Previous experience in recruitment coordination, talent acquisition, HR administration or a similar people services role.
  • Strong organisational skills with the ability to manage multiple vacancies, actions and priorities at the same time.
  • Excellent attention to detail and a commitment to maintaining accurate records and data.
  • Strong communication skills and the ability to work confidently with candidates, hiring managers, HR Business Partners and colleagues across HR Services.
  • Experience using recruitment systems, applicant tracking systems or HR systems would be an advantage.
  • Experience supporting projects, process improvement activity or operational administration would be an advantage.
  • Confident user of Microsoft Office, including Word, Excel, Outlook and PowerPoint.
  • Able to work independently on allocated tasks while knowing when to escalate questions, risks or blockers.
  • Comfortable working in a changing environment and supporting different areas of HR Services as business needs evolve.
  • Experience of a financial services or regulated environment would be an advantage.
  • Professional, approachable and service focused, with a commitment to delivering a positive candidate and colleague experience.
  • Able to handle confidential information with care, discretion and appropriate judgement.
