The Opportunity
Hamilton Lane is looking for a highly organized and detail-oriented Recruiting Coordinator to join our London HR team. This role will support the full recruiting lifecycle for roles across our EMEA and APAC offices, helping to deliver an outstanding candidate experience while enabling our recruiters and hiring managers to run an efficient, well-coordinated process.
Alongside recruiting coordination, the successful candidate will provide general HR administration support. This will include document preparation and organization, managing HR service requests, and supporting the wider HR team with day-to-day activities and projects.
This is an excellent opportunity for someone with at least one to two years of experience in recruitment coordination, diary management, or a similar administrative role who enjoys a varied role working in a collaborative, fast-paced environment and is keen to build broader HR experience.
Key Responsibilities
Recruitment Coordination
- Help coordinate the recruiting lifecycle from interview scheduling through to offer and onboarding:
- Schedule interviews and manage complex calendars across multiple time zones.
- Manage the recruiting inbox, serving as the primary point of contact for candidates, ensuring queries are handled promptly and professionally.
- Provide onsite support for interviews and candidate visits – booking meetings and registering guests with reception.
- Set up online meeting invites on Zoom and Teams.
- Schedule interview debriefs for hiring teams and recruiters.
- Administer case studies, Excel tests, and other assessments.
- Oversee background screening processes.
- Complete administrative tasks within the HRIS Workday and other recruiting systems.
- Maintain accurate, organized, and confidential candidate and recruiting records.
- Assist with the preparation of offer letters and employment contracts and other pre-employment documentation.
- Partner with HR Operations to ensure the smooth onboarding of new hires.
- Support early talent programs.
- Identify opportunities to improve recruiting processes and contribute to their implementation.

HR Administration and Team Support
- Provide general HR administration support to the London HR team, such as HR correspondence, employment documentation, reports, documents, and record keeping.
- Assist with drafting and updating HR policies, procedures, and related materials, using AI tools to assist.
- Coordinate with other HR teams (HR Operations, payroll, benefits, compensation, learning & development) to process administrative updates and inputs.
- Serve as a reliable backup for HR team members during periods of leave or absence, supporting with basic employee queries.
- Support with offboarding of employees, including exit logistics and documentation.
- Assist with ad hoc HR, recruiting, and people-related projects and other duties as assigned.
Qualifications and Experience
- Bachelor’s degree or equivalent professional experience.
- At least two years of experience in recruitment coordination, diary management, HR administration, or a similar role.
- Experience within the financial services industry would be a plus but is not essential.
- Strong organizational and time-management skills, with the ability to manage competing priorities.
- Excellent attention to detail and a proactive, solutions-focused approach.
- Strong written and verbal communication skills, with the confidence to work with candidates, recruiters, hiring managers, and colleagues at all levels and from different cultures and backgrounds.
- Ability to work effectively in a dynamic, team-oriented, and fast-paced environment.
- Comfortable working to deadlines and handling confidential and sensitive information with discretion.
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
- Experience using an HRIS, ATS, or other people-related systems; willingness to learn new platforms quickly.
