Job Description:

1. Early-Career Programs

  • Prepare and organize early-career events, including venue booking and setup, stakeholder briefings, and ordering of merchandise.
  • In partnership with the communications team, support social media campaigns to boost Gunvor’s visibility among students and early-career talent.
  • Assist in template creation for recruitment materials, and candidate communications.
  • Coordinate and schedule interviews for Gunvor’s Intern and Graduate Program.
  • Screening and interview candidates for early-careers programs (graduate, interns…)
  • Act as the primary contact for candidates, ensuring timely communication and guidance throughout the recruitment process.
  • Optimize the Applicant Tracking System for better reporting and candidate insights.
  • Launch and conduct a candidate experience review to identify gaps and areas for improvement.

2. Talent Development Programs

  • Coordinate logistics in preparation for Manager and Leadership programs, including venue booking, organizing dinners, liaising with program provider, printing materials (i.e. Psychometric reports, workshop materials etc).
  • Liaise with participants to ensure they are prepared and maintain timely completion of activities and assignments throughout the various program journeys, including reminders of key dates and support with any travel and logistics enquiries.

3. Organisational Learning

  • Support the coordination and administration of learning and development activities across the organization using Workday LMS.
  • Creation of ad-hoc eLearning content using Articulate360.
  • Support internal advertising campaigns for learning and development initiatives, including the promotion of learning platforms though targeted and seasonal internal digital campaigns.
  • Management of ad-hoc Learning enquires.

4. Performance & Talent Management

  • Monitor and track progress of goal setting and completion throughout the Performance lifecycle.
  • Prepare and organize materials for the Talent Management process when needed.
  • Support the preparation of Global Talent reviews (presentation content, data extraction/analysis and formatting, communication and invitations)
  • Coordinate follow-up actions related to talent reviews, succession planning and performance management processes.
  • Support in testing new performance management process in Workday HRIS tool to support implementation.
  • Support job architecture compliance across the organization (liaise regularly with Reward team for job profiles creation, adjustments, salary bends etc.)

5. General Administrative and Operational Tasks

  • Manage invoices related to Talent CoE.
  • Maintain and update talent databases, ensuring data accuracy and compliance.
  • Utilize AI and Microsoft Excel skills to manage data analysis, reporting, and tracking.
  • Ensure adherence to confidentiality and data protection policies.

Profile

  • A degree in Human Resources, Business Administration, or a related field.
  • Previous relevant experience of 6 years in Human Resources, Talent Acquisition, or a similar role is preferred.
  • Familiarity with HR systems (e.g., Workday) and administrative coordination is an advantage.
  • Customer-Centric Approach: Focused on delivering an excellent experience for candidates, employees, and other stakeholders.
  • Organizational Skills: Ability to manage multiple priorities, coordinate schedules, and meet deadlines efficiently, autonomous.
  • Communication Skills: Excellent verbal and written communication in English, with the ability to interact professionally with internal and external stakeholders.
  • Attention to Detail: High accuracy in data entry, reporting, and managing sensitive information.
  • Technical Proficiency: Familiarity with AI, Microsoft Excel skills (e.g., data analysis, reporting, pivot tables), proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook), familiarity with HRIS systems such as Workday is a plus.
  • Team Collaboration: Strong interpersonal skills and the ability to work effectively in a team-oriented setup.
  • Problem-Solving: Proactive mindset with the ability to identify issues and implement solutions.
  • Time Management: Strong ability to prioritize tasks and handle competing deadlines.
  • Adaptability: Flexibility to work in a fast-paced, dynamic environment and adjust to shifting priorities.
  • Event Coordination Skills: Experience or interest in planning and organizing events or sessions.
  • Language Skills: English (fluent), French or any additional language is a plus.
