Overview
We have an exciting opportunity to join our Talent team here at Publicis Groupe, within the Global Media Talent team. Our Talent team, traditionally known as HR, partners with our UK-based Global teams to support both the needs of the business and our people.
Talent is made up of experienced and passionate individuals across Talent Acquisition, Learning & Development, Talent Management and Talent Operations, working collaboratively to support our people and the wider business.
As a Talent Operations Coordinator, you'll work closely with the Senior Talent Advisor and play an important role within our Talent team, supporting our employees throughout their journey with us.
This is a fast-paced environment where you'll work across a broad range of Talent Operations activities, gaining exposure to a large and diverse employee population and the wider Talent function. You'll be supported by an experienced Talent team and have the opportunity to build your knowledge and skills across a broad range of Talent processes.
Responsibilities
- Build strong relationships at all levels across the Talent team and wider Global business, providing a professional, responsive and helpful service and ensuring queries are handled sensitively and in a timely manner
- Provide first-line guidance to employees and managers in person and via email, on Talent policies, processes and procedures, escalating complex or sensitive matters to the appropriate Talent Advisor
- Own the onboarding process, ensuring our new joiners have an exemplary start to their journey at Publicis Groupe
- Manage new joiner paperwork, including requesting employment references and tracking and uploading employee documents (contracts, visas and payroll information), before handing over to Payroll
- Liaise with Payroll to ensure accurate and timely submission of new starter, leaver and employee change information, resolving discrepancies where required
- Process leavers and communicate with employees throughout the leaver process
- Manage and process employee lifecycle changes, including promotions, transfers, salary changes, reporting line changes and contractual amendments, ensuring systems and documentation are updated accurately and on time
- Monitor employee absence through our system, ensuring absence records are accurately maintained and highlighting any issues or trends to the Senior Talent Advisor where necessary
- Coordinate and administer the probation process from start to finish, escalating to the Senior Talent Advisor where needed, including extensions and probation failures
- Manage the Right to Work process, conducting checks, maintaining accurate records and monitoring expiry dates, following up with employees where required and escalating any concerns to the Talent Advisor
- Maintain the integrity and accuracy of employee data and records, ensuring information is complete, up to date and appropriately stored within our systems
- Work with Finance to ensure all invoices and POs are provided accurately and in a timely manner
- Support the wider Talent team with ad-hoc administration and Talent activities, contributing to team priorities and gaining exposure to a broad range of Talent processes. Identify opportunities to improve Talent processes, systems and employee experience, making recommendations and supporting the implementation of process improvements

Qualifications
- A thorough understanding of operational HR processes for system onboarding and lifecycle management
- Some previous experience of working with HRIS/HR systems or databases. Knowledge of SuccessFactors is preferred but not essential
- A passion for providing an excellent service to our people
- Highly organised and detail-oriented, with the ability to manage a varied workload, prioritise effectively and maintain accuracy across multiple priorities
- Confident managing day-to-day responsibilities independently, while recognising when to seek guidance or escalate queries
- Excellent communication skills
- Proficiency with Microsoft Office Suite
- Positive and adaptable, with a willingness to learn, embrace change and look for opportunities to improve
- A team player who cares about our collective success as well as their own
