JOB SUMMARY

The Talent Support Coordinator provides centralized coordination and administrative support across the Talent & Transformation function, with primary responsibility for interview scheduling and recruiting logistics. This role coordinates a high volume of interview activity across global teams, ensuring candidates and hiring teams receive timely, accurate, and professional support throughout the interview process. The Talent Support Coordinator also supports recurring Talent workflows, documentation, and administrative activities that benefit from centralized coordination. Through responsive execution, strong organization, and attention to detail, this role enables Talent team members to focus their capacity on work requiring functional expertise, consultation, and strategic judgment.

KEY RESPONSIBILITIES

  • Own end-to-end interview scheduling for hiring manager-led searches, coordinating candidate and hiring-team availability across geographies, time zones, and complex calendars
  • Manage interview confirmations, reschedules, cancellations, and related logistics while providing timely, clear, and professional communication to candidates and hiring teams
  • Provide additional interview scheduling support across recruiter-managed searches as capacity allows, prioritizing work in alignment with established business needs
  • Maintain accurate interview details, scheduling activity, and related documentation within Workday, Outlook, Teams, and other applicable systems and tools
  • Provide centralized administrative support for recurring Talent & Transformation processes, programs, and workflows, including shared inboxes, trackers, templates, and other coordination activities as assigned
  • Maintain Talent documents and templates through disciplined version control, organization, and routine updates; support employment contract and offer letter template administration where assigned
  • Handle candidate, employee, and business information with appropriate confidentiality, discretion, and attention to data accuracy
  • Identify recurring administrative bottlenecks, scheduling challenges, and workflow inefficiencies; recommend practical improvements that strengthen consistency, efficiency, and stakeholder experience

QUALIFICATIONS

  • High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, Communications, or a related field preferred
  • 0–2 years of experience in administrative support, coordination, recruiting operations, shared services, customer service, or a related environment; relevant internship or academic experience may also be considered
  • Exceptional organization and attention to detail, with the ability to coordinate multiple concurrent activities and shifting priorities accurately
  • Strong written and verbal communication skills with a professional, service-oriented approach to supporting candidates, hiring managers, and internal stakeholders
  • Ability to coordinate schedules across multiple participants, geographies, and time zones in a fast-paced environment
  • Proficiency with Microsoft Office 365 applications, particularly Outlook, Teams, Word, and Excel, with the ability to learn new systems and tools quickly
  • Sound judgment and discretion when handling confidential or sensitive candidate, employee, and business information
  • Ability to work independently within established processes, recognize when escalation is needed, and follow through reliably on assigned responsibilities
