Team Secretary - Intellectual Property / Trademarks (London)

£37000-£40000
Hybrid

A great opportunity has arisen for an experienced Team Secretary to join a busy Intellectual Property & Trademarks team within a leading international law firm. This role is ideal for someone with strong secretarial experience and, ideally, previous exposure to IP or Trademark work.

About the Role

You will support senior fee‑earners within a fast‑paced practice group, providing high‑quality organisational and administrative support. Strong communication skills, attention to detail, and confidence in managing multiple priorities are essential. The role reports directly to the Assistant Secretarial Support Manager.

Key Responsibilities

  • Managing diaries, inboxes, travel arrangements, and telephone enquiries
  • Coordinating workflow to internal support teams (Document Centre, Print Room, etc.)
  • Amending, formatting, and producing legal documents, agreements, and presentations
  • Collating, indexing, and organising legal documentation; opening and maintaining files
  • Processing expenses in line with firm procedures
  • Liaising with BD, Marketing, Events, and Finance teams to support team initiatives
  • Managing client onboarding, conflict checks, due diligence, and compliance requirements
  • Opening new clients and matters; maintaining accurate records
  • Drafting engagement letters and onboarding documentation
  • Supporting billing processes, including WIP monitoring, reports, proformas, and invoices
  • Updating CRM systems with accurate client and business development information
  • Assisting with internal/external events, seminars, and client hospitality
  • Acting as a key point of contact between fee‑earners, clients, and business support teams

About You

  • Strong secretarial background within legal or professional services
  • Highly organised, adaptable, and able to manage competing priorities
  • Strong IT literacy and the ability to learn new systems quickly
  • Excellent attention to detail and a proactive, enthusiastic approach
  • Previous experience within an IP/Trademark team is highly desirable
