Role Description

Responsibilities

  • Provide full secretarial and administrative support to a large team, including the Senior Managers.
  • Diary management: dealing with meeting requests, using judgement on which meetings take priority and ensuring the diaries are maintained smoothly and effectively to maximise use of Senior Managers’ time.
  • Supporting supervisors or specialists, assisting with the scheduling of firm visits and meetings, coordinating internal and external attendees, managing correspondence firms, filing MI and other relevant information and circulating to relevant individuals.
  • Monitoring multiple shared inboxes and calendars and maintaining communication trackers.
  • Monitoring compliance standards for the team, producing weekly management information reports.
  • Engage with the firms to co-ordinate all firm engagement, and with other external stakeholders such as FCA, HMT or auditors as required.
  • Dealing with ad-hoc requests within the directorate or wider Bank.
  • Planning and arranging domestic and international travel, including flights, hotels & visas and produce a full itinerary when required.
  • Processing expenses claims.
  • Attending internal meetings; creating agendas and taking actions where needed.
  • Maintaining and updating team pages on UKDT intranet site.
  • Willing to cover for colleagues, including the HoD PA, to provide effective support to other teams within UKDT as required (directorate away day, recruitment campaigns).
  • Getting involved with team projects and workstreams (College Events TPRM Thematic, Strong and Simple).
  • Sharing best practices with regards to Bank wide applications and processes, helping team members to carry out their own responsibilities.

Role Requirements

Minimum Criteria

  • Proficient/competent user of Microsoft Outlook, Word, Excel, PowerPoint and OneNote.
  • Excellent organisation and time management skills with the ability to multi-task (often to tight deadlines) and prioritise.
  • Strong oral and written communication skills with the ability to adapt to different audiences, with strong attention to detail.

Essential

  • A proven and active team player, proactive and willing to help others to achieve results with the ability to work independently and on your own initiative.
  • Flexibility, the desire and confidence to get things done with a proactive approach.
  • Experience in dealing with highly confidential information.

Desirable

  • Advanced knowledge and competence in of all Microsoft packages and advanced knowledge of OneNote.
  • An interest in using AI tools to improve process efficiency.

Salary and Benefits Information

We encourage flexible working, part time working and job share arrangements. Part time salary and benefits will be on a pro-rated basis as appropriate.

Salary as follows:

  • Leeds circa £24,500 - £26,200
  • London circa £27,000 - £29,000

In addition, we also offer a comprehensive benefits package as detailed below:

  • Currently a non-contributory, career average pension giving you a guaranteed retirement benefit of 1/80th of your annual salary for every year worked. There is the option to increase your pension (to 1/65th) or decrease (to 1/105th) in exchange for salary through our flexible benefits programme each year. The Bank has the discretion to vary standard accrual rates and dial up and dial down rates at any time and to withdraw dial up and dial down options at any time.
  • A discretionary performance award based on a current award pool.
  • An 8% benefits allowance with the option to take as salary or purchase a wide range of flexible benefits.
  • 26 days’ annual leave with option to buy up to 12 additional days through flexible benefits.
  • Private medical insurance and income protection.

National Security Vetting Process

Employment in this role will be subject to the National Security Vetting clearance process (and typically can take between 6 to 12 weeks post offer) and the passing of additional Bank security checks in accordance with the Bank policy.
