About the Role

Wise May are looking for a Team Assistant to join a friendly Financial firm based in the City. This is a great opportunity to provide extensive administrative support alongside the EA's to the Investment team and wider business support.

This is a full-time and permanent position with a hybrid working arrangement, working the hours of 9am - 5:30pm.

Team Assistant Duties

  • Supporting the Executive Assistant to the CIO and Investment Managing Directors, taking ownership of delegated responsibilities and contributing to the effective operation and success of the Investment team.
  • Providing comprehensive diary management support to the Investment Team.
  • Organising complex travel and accommodation arrangements.
  • Responding to emails on behalf of Investment team members, where required.
  • Coordinating authorised wet ink and electronic signatures.
  • Managing document administration, including filing, scanning, and document control.
  • Coordinating Investment team communications and helping maintain engagement across the wider function.
  • Supporting operational, administrative, project-related, and stakeholder activities as required.
  • Organising and supporting internal and external events, including team away days, site visits, lunches, charity events, and seasonal activities.
  • Providing general administrative support and assistance with ad hoc tasks across the office and wider team.
  • Acting as an additional point of contact during colleagues' absence and providing reception/front-of-house cover as required.
  • Attending and contributing to team meetings when required.

Team Assistant Skills Required

  • Previous Office Assistant or Administrative experience.
  • Strong academic background, educated to A-Level and above.
  • Excellent computer skills - Including the use of Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook, Teams and SharePoint).
  • Highly organised, efficient, and self-motivated, with excellent time management skills.
  • Strong ability to manage multiple priorities in fast-paced environments and meet tight deadlines.
  • Excellent written and verbal communication skills, with the ability to build relationships at all levels.
  • Trusted to handle confidential and sensitive information with discretion and professionalism.
  • Strong problem-solving skills, adaptability, and flexibility in response to changing priorities.
  • Collaborative and positive team player who works effectively with peers and cross-functional stakeholders.
