Hours: Monday - Friday
09.00 - 18.00 (flexible hours available on request).
You may occasionally be required to work evenings as the needs of the business dictate, with time off in lieu.

Hybrid - 3 days WFH
25 days annual leave plus bank holidays

Reports to:
Portfolio Directors, working for the Senior Portfolio Managers and Portfolio Managers on a daily basis.

Key Role Overview

As a Team Assistant, you’ll be the backbone of our Property operations, ensuring seamless administrative support for a team of portfolio managers. This is a dynamic role where your organizational skills and attention to detail will shine. You’ll manage everything from client communications to preparing reports, coordinating meetings, and maintaining both electronic and physical filing systems. Your ability to multitask and keep things running smoothly will make a real impact on our team’s success.

What You’ll Do

  • Be the go-to support for portfolio managers, handling correspondence, drafting letters, and managing service charge and ground rent processes.
  • Own the communication flow—answer calls promptly, liaise with clients, residents, and contractors, and ensure issues are resolved efficiently.
  • Keep us organized by updating spreadsheets, preparing quarterly meeting packs, and maintaining accurate records.
  • Coordinate contractor activity, from requesting quotes to managing tenders and tracking progress.
  • Ensure smooth operations—manage keys, post, and meeting room setups, while keeping everything compliant and professional.

What We’re Looking For

  • A courteous, polished professional who thrives under pressure.
  • Strong IT skills, especially in Microsoft Office.
  • Excellent communication - both written and verbal, with impeccable grammar.
  • Highly organised, proactive, and confident in managing time and priorities.
  • Presentable and client-ready at all times.
  • 2 Years minimum administrative office experience
  • Property Industry and/or client relations experience is preferred but not essential
