About the team
The team is made up of 6 people who support, in some way, the entire business. We are very involved in everything that is going on business wide, from events to updates there is always something to be involved in.
Role and responsibilities
Downing is looking to hire a Team Assistant to support the sales senior leadership team and marketing team, in particular the Events Manager with the day-to-day admin around planning events across the business. There will also be some adhoc support for others in the business. The ideal candidate will have innate organisation ability and can bring resilience, complete flexibility and a proactive mindset. This role will involve working closely with the business support team, sales team and marketing team and is a critical role within the company.
Your responsibilities will include:
- Ad hoc diary management and administrative support to multiple members of the sales team including PowerPoint deck creation, reporting and research
- Arranging travel and accommodation
- Assisting with the organisation of team meetings, events and socials
- Facilitating communication, manning and monitoring the phone system as well as providing excellent customer service on all requests and projects
- DDQ request support
- Working with the wider team in the planning, preparation, and delivery of key objectives
- Working closely with the Events Manager on 150+ events across the Downing calendar
- Assisting in the set-up of events, including some out of hours and out- of- office event work
- Managing courier bookings, coordinating branded merchandise, exhibition stand materials and print collateral with suppliers
- Managing event admin and post-event data in line with team processes, including compiling and tracking attendance data and event feedback
- Assisting with webinar platform set-up
- Ad hoc reception cover
- General office administration: printing, binding, postage and scanning documents where required
- Any other duties associated with the above.

Key skills and experience
The ideal candidate will have the following:
- A strong team player with excellent organisational skills
- Experience and good working knowledge of Microsoft packages (Outlook, Word, Excel, Teams, PowerPoint)
- Ideally 2+ years of experience in a similar role within a fast-paced environment with some experience organising team events
- Proactive and calm under pressure
- The ability to multitask and prioritise workloads
- The ability to handle multiple deadlines/assignments with minimal supervision
- Strong, positive internal and external relationship management skills, enabling you to engage at all levels
- Superb written and verbal communication skills, drafting clear messaging, presentations and communications
- A strong work ethic, with a sense of urgency, owning projects and areas of responsibility and seeing them through to completion/delivery with consistently good outcomes
- Strong attention to detail
- Due to the confidential nature of the work involved, the successful candidate will also be able to demonstrate absolute discretion at all times
- Experience in using HubSpot and BrightTalk preferred but not essential
