What are we looking for?

We’re looking for an organised, proactive and adaptable Team Assistant to support our Commercial leadership team and wider business at La Fosse.

This is a varied role that sits at the heart of the Commercial division, providing day-to-day coordination, diary and meeting support, reporting, event assistance and general administration.

You’ll work closely with senior leaders, the wider PA/EA team and colleagues across La Fosse, helping to make sure meetings run smoothly, priorities stay on track and the team has the support it needs to perform at its best.

It would suit someone who enjoys variety, is naturally organised and likes being one step ahead. You’ll need to be comfortable managing multiple priorities, working with senior stakeholders and getting involved wherever support is needed.

What will you be doing?

Diary & Meeting Management

  • Coordinate internal and external meetings across multiple stakeholders, particularly more complex meetings involving three or more attendees.
  • Proactively review diaries and help resolve scheduling clashes and competing priorities.
  • Manage meeting logistics, room bookings and recurring team and leadership meetings.
  • Support the set-up and smooth running of larger meetings, including presentations and meeting rooms.
  • Prepare agendas and collate relevant information ahead of meetings.
  • Track actions and follow up on outstanding items where required.
  • Use technology and AI tools to make meeting coordination and follow-up more efficient.

Reporting & Business Support

  • Prepare and collate reports, presentations and meeting packs when required.
  • Support internal communications across the Commercial division.
  • Help track commercial incentives, competitions and team initiatives and support the Senior Management Team in keeping momentum behind them.
  • Gather information from stakeholders and help ensure key deadlines are met.
  • Maintain trackers, documents and administrative systems.
  • Support ad hoc reporting, data and presentation requests.

Commercial & Team Support

  • Support business development initiatives, team incentives and commercial campaigns.
  • Assist leaders with one-to-one preparation, diary reviews and general administration.
  • Coordinate travel, restaurant bookings and basic expense administration.
  • Act as a central point of contact for shared Commercial team support.
  • Build strong relationships across the Commercial division and wider La Fosse business.
  • Provide light-touch inbox support where required.
  • Help coordinate team celebrations, gifts and other ad hoc requests.

Events & Office Support

  • Support the planning and delivery of company meetings, town halls, incentives, socials and internal events.
  • Work closely with the Commercial Senior Management Team to coordinate content and materials for key meetings and events.
  • Support event logistics including meeting rooms, catering, presentations and set-up.
  • Assist with company-wide meetings and activities, including breakfasts and other internal events.
  • Support with new starter headshots and other simple internal content requirements.
  • Provide reception cover during lunch breaks on agreed office days.
  • Work alongside the Office Experience Manager on ad hoc operational and office activities.

PA / EA Team Support

  • Work closely with the wider PA and EA team to provide flexible support across La Fosse.
  • Provide holiday, sickness and workload cover when required.
  • Support other PAs and EAs with diary management, administration and meeting coordination.
  • Get involved in wider company projects and initiatives where additional support is needed.

You’ll ideally have previous experience in a Team Assistant, PA, Sales Support, Business Support or Administrative role.

You’ll also have:

  • Strong diary management and meeting coordination skills.
  • Excellent organisation and the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • High attention to detail.
  • Confidence working independently and taking ownership of tasks.
  • The ability to build relationships with people at all levels of a business.
  • Good working knowledge of Microsoft Outlook, Word, PowerPoint and Excel.
  • An interest in using technology, automation and AI to work more effectively.
