Team Assistant

Location: Canary Wharf, Cabot Square
Contract: 12 months
Work Setup: Hybrid - 3 to 4 days in the office

We are looking for a proactive Team Assistant with excellent organisational skills who stays calm under pressure. You will support multiple teams with time-sensitive tasks, so strong communication and a can-do attitude are essential. Corporate experience is required, along with hands-on experience managing travel, expenses and diaries.

Who You Will Work With

Our client is a global financial services firm that manages wealth, navigates complex markets, and design strategic financial objectives. The firm provides risk management solutions across a variety of sectors, emphasizing long-term relationships, and innovative approaches to financial challenges.

What You'll Do

  • Manage complex diaries and coordinate meetings across multiple time zones.
  • Process expense claims in line with firm policy, ensuring accuracy and compliance.
  • Arrange end-to-end global travel, including flights, visas, hotels, ground transport, foreign currency and time-zone planning.
  • Provide ad-hoc support to the management team and across the section as required.
  • Assist the Floor Coordinator/Office Manager with management-level tasks and projects.
  • Cover holidays and sick leave across the department during peak periods, working flexibly with various teams.
  • Undertake general secretarial duties, including switchboard/phone coverage, mail and fax distribution, filing and maintaining attendance records.

What You Bring

  • Minimum 1-2 years' experience in a Team Assistant or Business Support role within a corporate environment.
  • Proven track record managing complex diaries, coordinating meetings and arranging end-to-end travel.
  • Excellent organisational and time-management skills, with the ability to prioritise and multi-task effectively.
  • Methodical and logical approach with strong attention to detail and accuracy.
  • Ability to work well under pressure, adapt to change and maintain performance in a fast-paced setting.
  • Strong interpersonal skills with excellent verbal and written communication, and the ability to collaborate effectively within a team.
