The Opportunity
This role is at the heart of supporting a busy team of approximately 120 engineers, ensuring projects, people and operations run smoothly. You will act as a key point of coordination across the team, providing proactive administrative support, maintaining processes, and helping colleagues stay organised and connected. From coordinating meetings, managing team communications, and supporting new starters, to organising events and maintaining essential team information, you will play an important role in creating an efficient and positive working environment.
You will provide administrative support across a wide range of activities, including project compliance tracking, report and document quality checking, bid support, appraisal coordination, and project administration. Working closely with technical staff and leadership teams, you will help monitor key milestones, track actions, maintain distribution lists and organisational charts, support monthly team meetings, and assist with the preparation of presentations and team communications.
Furthermore, you will work collaboratively with Team Coordinators, project teams, and business leaders to balance priorities and provide responsive support across multiple activities. This includes supporting onboarding processes, coordinating software licensing, managing annual leave records, assisting with aviation project administration, and helping the wider team remain connected, informed, and focused on delivering successful outcomes for clients and projects.

Is this role right for you?
Overall, this is a varied and fast-paced role that would suit someone who is highly organised, proactive, detail-oriented, and enjoys supporting people, projects, and business operations within a large multidisciplinary engineering environment.
A significant part of the role involves team coordination and engagement. You will organise social events, CPD sessions, site visits, travel and accommodation arrangements, PPE requirements, and support recognition initiatives such as awards, retirement celebrations, and team newsletters. You will also maintain team SharePoint sites, event calendars, records of dietary requirements and allergies, and ensure important deadlines and team activities are effectively managed.
