Team Coordinator

Your new role

Hays are recruiting for a newly created Team Coordinator role for a property company in Huddersfield. This is a varied role, combining project administration, document control as well as supporting the wider office with ad hoc administration tasks.

Role Overview:

  • Provide efficient administrative support to the project team.
  • Prepare, update, and maintain project documents, reports, trackers, and spreadsheets.
  • Coordinate and reconcile project information to ensure records remain accurate and up to date.
  • Support the day-to-day operations of the project team.
  • Manage and monitor shared mailboxes.
  • Respond to and distribute correspondence promptly and professionally.
  • Ensure project-related communications are handled efficiently.
  • Ensure documents are accurately version-controlled and easily accessible.
  • Manage document distribution, approvals, and revision tracking.
  • Ensure compliance with project and contractual requirements.
  • Monitor outstanding actions and follow up with project teams to ensure timely completion.
  • Highlight overdue items and support their resolution.
  • Coordinate project meetings, prepare agendas, and distribute relevant documentation.
  • Attend meetings, take accurate minutes, and record key actions and decisions.
  • Issue meeting minutes and track actions to completion.
  • Managing multiple spreadsheets to track project completion times.
