The Role

The role of Bond Team Manager will be responsible for ensuring that all elements of the bonded warehouse process is managed effectively, ensuring that standards are preserved. This role is integral to achieving the required levels of performance against set KPI’s by the use of effective people and task management. You will demonstrate discipline and be keen to achieve high quality, organised and consistent results.


Key Responsibilities

  • Ensure all costs are contained within agreed financial guidelines and maintain and monitor working practices.
  • Ensure that all activities are planned and organised to meet scheduled targets utilising the team effectively and the identified best practice tools. Plans and schedules will include: Holidays, Rosters, Work Schedules
  • Develop plans, rosters, work schedules, training plans and recruitment activity, ensuring all process checks are undertaken as required, performance is monitored and corrective action is taken.
  • Liaise with managers to achieve targets
  • Liaise with the warehouse controller and departmental teams to actively manage stock levels, usage and waste
  • Investigate and analyse problems, recommend and implement corrective action, and provide information to support effective reviews of unit and team performance.
  • Support periodic inventory processes by scheduling activity, processing documentation and investigating variances as required, while organising staff and equipment within specified cost targets to meet forecasts.
  • Review team performance on a daily, weekly and periodic basis as required
  • Select and recruit new staff to meet schedules, undertake regular one to ones and appraisals for all team members, and identify job development, training or coaching requirements as necessary.
  • Manage and monitor staff attendance, including overtime, lateness and absenteeism
  • Manage team conduct in line with company procedures while maintaining motivation and coaching and supporting all team members.
  • Ensure all training activities are undertaken as required by the training manual and compliance requirements, skills matrices are current and training plans are in place.
  • Ensure due diligence paperwork is completed, reviewed and actioned as required.
  • Ensure Security Processes are maintained so that the security of equipment, Personnel and Stock can be assured.
  • Ensure that “Housekeeping” actives are undertaken and ongoing site Health and safety actions are completed
  • Using the Bond management information, initiating and reviewing action plans as required and communicating issues and solutions where necessary
  • Providing information to assist in the effective review of Bond and Team Performance
  • Monitoring performance against compliance and ensuring corrective action plans are introduced and reviewed as required
  • Ensuring that all Custom & Excise documentation is complied with and Bond processes adhered to
  • Building customer relationships which help the Bond meet business needs whilst providing expert knowledge to customers on operating processes
  • To ensure the Bond operation complies with all legislation, company and customer requirements
  • Ensuring that Period End stock take activity is co-ordinated and to undertake briefings as required to ensure accuracy is maintained.
  • Identifying and quantifying implications of proposed changes to process or customer requirements
  • Effectively reviewing the process management reports on a daily basis considering a general overview of performance issues, actions required to resolve issues and effective communication of the solutions.
  • Attending the daily meetings to agree action plans and communicate issues and resolutions.
  • Undertaking a review of achievement of agreed business objectives as required including: undertaking an annual appraisal with each direct report and agreeing and reviewing action plans on a monthly basis.
  • Ensuring that you communicate effectively utilising all elements of the communication structure/ process
  • Introducing and maintaining best practice to ensure compliance.
  • Ensuring the daily compliance check is undertaken reviewed and actioned as required.
