Team PA & Office Manager
Oxted, Surrey | £30,000–£40,000 DOE
Hybrid | Monday–Thursday office-based | Friday WFH
Are you a highly organised, proactive PA who loves being the person that keeps everything running smoothly?
We’re recruiting a Team PA & Office Manager to join a growing organisation based in Oxted, Surrey. This is a brilliant opportunity for someone who enjoys variety and wants a role where they can genuinely make an impact.
Working closely with the CEO, COO, Managing Director and Chief of Staff, you’ll provide PA support to the senior leadership team while taking ownership of the day-to-day running of the head office.
This is much more than diary management. You’ll be at the heart of the business, keeping senior leaders organised, ensuring the office runs seamlessly and being the person people can rely on to make things happen.
The Role
You’ll be responsible for:
- Managing multiple senior diaries, balancing priorities and resolving scheduling conflicts
- Coordinating internal and external meetings, meeting rooms and video calls
- Preparing meeting agendas, documents and briefing materials
- Taking meeting notes and following up on actions when required
- Supporting with correspondence, presentations, reports and general administration
- Arranging travel and accommodation
- Handling confidential information with discretion
- Taking ownership of the smooth day-to-day running of the Oxted office
- Managing relationships with suppliers, contractors and service providers
- Coordinating office supplies, equipment, maintenance and facilities
- Welcoming visitors and ensuring meetings are professionally organised
- Liaising with IT support and arranging equipment for new starters
- Helping to organise team events and internal activities
- Supporting invoice administration and tracking office expenditure
- Identifying ways to improve office processes and make things run more efficiently

About You
You’ll ideally have previous experience as a Team PA, Personal Assistant, Office Manager or similar, and be someone who genuinely enjoys taking ownership.
You’ll be:
- Exceptionally organised and confident managing multiple diaries and competing priorities
- Proactive, someone who spots what needs doing before being asked
- Warm, personable and professional
- A confident communicator, both written and verbal
- Comfortable working closely with senior leadership
- Discreet and trustworthy when dealing with confidential information
- Detail-oriented and reliable
- Confident using Microsoft Office, including Outlook, Word, Excel and PowerPoint
- Practical, flexible and happy to get involved wherever needed
- Able to work from the Oxted office Monday–Thursday

Previous healthcare experience would be advantageous, but is not essential.
