Purpose of Role

As Team Personal Assistant, you will play a vital role in enabling the Development Leadership Team to operate effectively by delivering exceptional administrative and organisational support.

Acting as a central point of coordination, you will help ensure the smooth flow of information, effective prioritisation of activities and efficient management of stakeholder commitments, while upholding the highest standards of professionalism, confidentiality and collaboration.

This role is a 12 month Fixed Term Contract.

Context of opportunity / Main accountabilities

This is an exciting opportunity to join a purpose-led organisation and support a dynamic Development team at the heart of delivering value across our portfolio. Working closely with senior leaders, the Executive Assistant and wider business support community, you will contribute to the successful delivery of enterprise priorities while ensuring a consistent and high-quality support service.

Key responsibilities include:

  • Providing proactive and comprehensive PA support, including complex diary and inbox management.
  • Coordinating and prioritising schedules, resolving conflicts and ensuring stakeholders are well prepared for meetings and key activities.
  • Managing meeting logistics, including scheduling, agenda preparation, briefing packs, minute taking and action tracking.
  • Supporting leadership team governance processes through the timely coordination and submission of papers and documentation.
  • Organising national and, where required, international travel arrangements in line with company policies and sustainability considerations.
  • Processing expenses and maintaining compliance with relevant corporate policies and procedures.
  • Planning and coordinating internal and external events, team meetings, away days and key annual activities.
  • Building strong relationships with internal and external stakeholders, acting as a professional first point of contact on behalf of senior leaders.
  • Supporting continuous improvement by identifying opportunities to streamline processes, enhance service delivery and reduce costs and carbon emissions.
  • Collaborating across the Business Support Community to promote knowledge sharing, consistency and best practice.
  • Providing flexible support to colleagues during periods of absence and adapting to changing business priorities.

Most important skills based requirements

  • Proven experience providing high-level PA support within a fast-paced and complex business environment, ideally supporting Director-level stakeholders.
  • Exceptional organisational skills with the ability to manage competing priorities, adapt quickly to changing demands and meet deadlines under pressure.
  • Strong diary, inbox and stakeholder management experience with a proactive, solutions-focused approach.
  • Excellent written and verbal communication skills, with the confidence to build trusted relationships across all levels of an organisation.
  • Ability to work independently, using initiative and sound judgement while maintaining a high level of accuracy and attention to detail.
  • Demonstrated discretion in handling confidential and sensitive information.
  • Strong proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint and Excel.
  • Resilient, adaptable and collaborative, with a commitment to delivering an outstanding support service.
  • Experience coordinating meetings, events, travel arrangements and governance-related activities.
  • A continuous improvement mindset, with the ability to identify and implement more efficient ways of working.
  • Commitment to inclusion, collaboration and creating an environment where diverse perspectives and experiences are valued.
