The Technical Administration Coordinator

The Technical Administration Coordinator serves as the central link between the Facilities Maintenance team and its administrative functions. This role is for a period of up to six months and ensures that technical projects remain on schedule by managing the complex documentation, data, and communication required for technical operations.

This exciting and hugely rewarding role coordinates all aspects of Facilities Maintenance operations across Taymouth Castle Estate, Glenlyon Estate, Moness Resort, and Kenmore Village. A role that is involved in many areas of the business and includes all amenities, assets, residential properties, staff housing, and various buildings throughout the estates.

You will be naturally organised, detail-driven, and always one-step ahead; the backbone of the team. Your expertise and knowledge contribute to the safety, comfort, and overall experience of our guests and team throughout the club.

Discover the Role

We are looking for a highly organised and proactive Coordinator for a period of up to six months to support our Maintenance and Facilities Management team. This varied role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and takes pride in delivering exceptional administrative support.

Working closely with the Maintenance Leadership Team, you will coordinate work schedules, preventative maintenance programmes, contractor management, purchase orders, invoices, and warranty administration, while ensuring maintenance documentation and records are accurate and up to date. You will also support Health & Safety compliance, audits, staff training, inductions, and competency records and produce reports to support departmental performance.

The successful candidate will coordinate contractor and supplier activities, manage work rosters, maintain servicing schedules, asset records, and inventory, and help ensure our estate and facilities continue to operate to the highest standards. You will play a key role in supporting the smooth day-to-day operation of the department while delivering excellent service to colleagues, contractors, and visitors.

This is an exciting opportunity to join a collaborative team in a unique estate environment. Based at Taymouth Estate, the role requires occasional travel between estate assets.

Discover You

  • Previous experience within the hospitality industry, preferably in a large resort environment, with experience coordinating small works projects and a strong understanding of Facilities Operations and Maintenance.
  • Discretion and professionalism when handling sensitive client and staff documentation are essential.
  • A strong communicator with excellent organisational skills and the ability to manage deadlines and competing priorities.
  • Proficiency in Microsoft Office packages, including Word, Excel, Outlook, and PowerPoint, along with report writing skills, is required.
  • A full UK driving licence is essential due to travel between locations.
  • You will deliver refined, personalised, and anticipatory service with a commitment to quality and excellence. With strong attention to detail, a calm and confident approach, and pride in your presentation, you will demonstrate excellent time management, problem-solving skills, and the flexibility to support business needs, including peak periods and emergencies.
