Overview
Atrium is seeking a trusted Technology & AI Partner to become an extension of our business.
The role is remote and part time, we are not looking for a reactive, break-fix IT support company. We are looking for a commercially minded technology partner who takes ownership of our technology environment, proactively recommends improvements and helps our team make the best possible use of technology — while remaining happy to stay hands-on with day-to-day support when it is needed. This could be an experienced individual or a small specialist firm; what matters most to us is the quality of the relationship and the outcomes delivered.
This is a long-term partnership opportunity for a person or team who enjoys building trusted relationships, solving problems and helping a growing international business make smarter use of technology.
Purpose
To own, support and continuously improve Atrium's technology environment, ensuring our systems are secure, reliable and enable our people to work efficiently.
The successful partner will become our trusted adviser for all aspects of technology, AI and business systems.
Key Responsibilities
Microsoft 365
- Manage all Microsoft 365 licences and users.
- Create and manage both full Microsoft 365 accounts and email-only accounts.
- Administer Exchange Online, Outlook, Teams, SharePoint, OneDrive and the wider Microsoft 365 platform.
- Configure user permissions, security policies and Multi-Factor Authentication.
- Manage shared mailboxes, distribution groups and Microsoft Teams.
- Provide ongoing support, advice and training to help colleagues maximise the value of Microsoft 365.
Domain & Email Management
- Manage all company domains.
- Configure and maintain DNS records.
- Manage SPF, DKIM and DMARC.
- Configure and maintain Microsoft 365 email domains.
- Manage domain renewals and registrar relationships.
- Maintain excellent email deliverability and protect domain reputation.
- Support email security and domain reputation management for outbound sales activity.
Business Systems
- Administer and optimise Freshsales CRM.
- Support users and improve CRM processes and reporting.
- Manage and support Manatal.
- Integrate business systems where appropriate.
- Recommend solutions that simplify processes and improve efficiency.
AI & Business Productivity
- Help Atrium adopt AI safely and effectively.
- Train colleagues in practical AI applications.
- Identify opportunities to automate repetitive work.
- Recommend AI tools that create measurable business value.
- Help embed AI into everyday business activities.

Business Process Improvement
- Continually identify opportunities to improve how the business operates through technology.
- Reduce manual administration through automation.
- Improve collaboration, productivity and client service using Microsoft 365, AI and integrated business systems.
- Challenge existing ways of working where technology can deliver better outcomes.
Security
- Manage Microsoft 365 security.
- Manage laptop security and endpoint protection.
- Configure and maintain security policies and Multi-Factor Authentication.
- Manage user permissions and access.
- Monitor cyber security risks.
- Ensure appropriate backup and recovery arrangements.
- Advise on cyber security best practice.
Data Protection, Confidentiality & Ownership
- Handle all Atrium, employee and candidate data in line with UK GDPR and other applicable data protection law, under a signed confidentiality agreement and, where appropriate, a data processing agreement.
- Be willing to undergo reasonable background and reference checks, reflecting the access to sensitive HR, recruitment and personal data that this role involves.
- Maintain appropriate professional indemnity and cyber liability insurance for the engagement.
- Ensure Atrium retains full ownership of its Microsoft 365 tenant, domains, DNS, registrar accounts and all administrative credentials at all times, with the partner working through delegated administrative access rather than holding sole control.
- Keep clear, up-to-date documentation of our technology environment and provide a clean handover of all access, credentials and documentation should the partnership ever end, with no lock-in.
Support & Training
- Act as the first point of contact for technology support.
- Resolve day-to-day technical issues quickly and effectively.
- Deliver practical training on Microsoft 365, AI, Freshsales, Manatal, Excel, PowerPoint and other business applications.
- Produce simple user guidance where appropriate.
- Help colleagues become more confident and productive with technology.
Technology Leadership
- Act as Atrium's trusted technology adviser.
- Recommend improvements rather than simply responding to problems.
- Manage relationships with third-party technology suppliers.
- Advise on future technology investments.
- Ensure technology decisions support the company's commercial objectives.

Time Commitment
This is a remote role and not a full-time. We are seeking a long-term technology partner who becomes an extension of our business.
We anticipate the requirement to be approximately 1 to 2 days per week on average (8 to 16 hours), although this is likely to vary depending on projects and business priorities. Some weeks may require only a few hours, while others may require additional time to deliver key initiatives or resolve urgent issues.
The successful partner will:
- Be proactive rather than waiting for issues to arise.
- Be available to respond to business-critical issues within agreed service levels.
- Schedule regular time to review, maintain and improve our technology environment.
- Meet with the leadership team on a regular basis to discuss priorities, opportunities and upcoming technology requirements.
