Warner Hotels' Technology Function

Warner Hotels' Technology function is managing a growing portfolio of investment across digital products, data and analytics, infrastructure, cyber security, business applications and wider transformation initiatives. As investment continues to increase, effective financial management, supplier oversight, operational governance and cost optimisation are essential to ensuring technology spend is controlled, investments deliver value and financial processes operate efficiently.

Role Overview

Reporting to the Head of Technology and Transformation Portfolio, the Technology Finance and Operations Coordinator will play a key role in supporting the financial and operational management of the Technology function. The role is responsible for overseeing Technology OPEX and CAPEX processes, supplier and contract administration, financial reporting, budgeting and forecasting activities, and ensuring effective coordination between Technology, Finance and external partners.

The successful candidate will combine financial and operational discipline with a proactive and analytical mindset. They will be comfortable working across teams, providing insight and constructive challenge, identifying opportunities to improve processes and controls, and influencing stakeholders to drive greater efficiency, transparency and value from Technology investments.

Responsibilities

Financial Management and Supplier Coordination

  • Support the management of Technology operating (OPEX) and capital (CAPEX) expenditure, providing financial oversight, reporting and coordination across the technology portfolio
  • Raise and manage purchase orders, goods receipts and invoice processing activities, ensuring supplier payments are processed accurately and within agreed timescales
  • Maintain accurate records of Technology expenditure, commitments, forecasts and accruals, ensuring financial data is complete, current and audit ready
  • Work with Finance to ensure Technology expenditure is accurately coded and appropriately categorised between OPEX and CAPEX budgets
  • Produce regular budget, forecast and expenditure reporting, providing insight into spending trends, variances, risks and opportunities
  • Partner with Finance Business Partners, budget holders and delivery teams to support budgeting, forecasting and financial planning activities
  • Monitor actual expenditure against approved budgets, business cases and investment plans, highlighting risks, variances and corrective actions
  • Support the PMO & Governance Manager with CAPEX governance processes, ensuring compliance with financial controls and investment approval requirements
  • Act as a key liaison between Technology, Finance, Procurement and suppliers to ensure effective financial governance, reporting accuracy and operational efficiency
  • Identify and recommend improvements to financial processes, controls and reporting, influencing stakeholders to improve transparency, efficiency and decision-making
  • Support Technology leaders with CAPEX investment requests, coordinating the approval process through to project code creation and financial tracking
  • Establish and maintain comprehensive records of technology suppliers, contracts, commercial commitments and renewal schedules, providing visibility of contractual obligations, risks and optimisation opportunities

Cost Optimisation and FinOps

  • Support the Head of Technology and Transformation and CTO in identifying and delivering technology cost optimisation and value realisation opportunities
  • Support the development and embedding of FinOps practices, financial governance and reporting capabilities, helping to improve accountability, cost transparency and investment decision-making across the Technology function
  • Improve visibility and understanding of technology expenditure, enabling more informed investment and consumption decisions
  • Analyse technology spending patterns and provide recommendations to improve cost efficiency, forecasting accuracy and budget utilisation

Technology Governance and Operations

  • Support the PMO and Governance Manager with the planning and coordination of Technology Town Halls, leadership events and quarterly away days, including reporting, presentations, actions and follow-up activities
  • Provide operational support for contractor and contingent workforce management, including purchase orders, contract renewals, supplier coordination and maintenance of contractor records
  • Administer the Technology timesheet system, ensuring projects, users and reporting structures remain accurate and supporting compliance with timesheet completion requirements
  • Work closely with Technology, Data and Finance teams to identify and implement improvements to operational processes, reporting and systems

  • Monthly financial reporting delivered on time and with agreed accuracy levels
  • Supplier and contract records maintained at 100% completeness and accuracy
  • Technology investment and budget tracking maintained at 100% completeness
  • Percentage of POs raised within 2 days
  • Accuracy of purchase order and financial records
  • Monthly reporting packs delivered on time
  • Improvement in visibility of technology expenditure and commitments
  • Reduction in manual reporting effort through process improvements and automation

Essential Skills and Experience

  • Financial administration and reporting experience, including budget tracking, forecasting and purchase order management
  • Excellent attention to detail with the ability to analyse financial information and identify trends, risks and discrepancies
  • Ability to build effective relationships and influence stakeholders across Technology, Finance and third-party suppliers
  • A proactive, independent thinker who takes ownership, challenges constructively and identifies opportunities to improve processes and controls.
  • Strong organisational skills, with the ability to manage competing priorities and deliver accurate work to tight deadlines
  • Microsoft Excel and PowerPoint expertise

Desirable Skills and Experience

  • Experience within hospitality, leisure, retail or customer-focused organisations
  • Experience supporting Technology Financial Management (TFM), IT finance, Technology Business Management (TBM) or FinOps practices
  • Experience working with suppliers, software licensing and contract management
  • Experience developing or improving financial reporting, budgeting and cost management processes
  • Exposure to project, portfolio or PMO environments
