Technology Purchasing Coordinator

Role Purpose

The Technology Purchasing Coordinator provides day-to-day operational support for Technology purchasing and logistics alongside cost and stock tracking. The role ensures timely delivery of Technology goods and services, accuracy of purchase orders, and smooth coordination between internal teams, suppliers, and logistics partners to ensure that costs and held stock are accurately recorded.

Working closely with internal teams, suppliers, procurement colleagues and key stakeholders, the postholder helps maintain operational efficiency, and support continuous improvement across technology purchasing processes.

Key Responsibilities

Purchasing & Provision

  • Coordinate technology and telephony sourcing requests in line with team procedures and following guidance from the IT Commercial Lead.
  • Raise and track purchase orders for technology teams, ensuring accuracy, compliance and timeliness.
  • Liaise with internal teams to coordinate technology requirements and resolve issues quickly.
  • Ensure all purchased assets are properly recorded in the IT Equipment Inventory at the point of delivery.
  • Support the Technology Architecture Team in selection of standard devices for the IT catalogue.
  • Handle or coordinate device setup, allocation and distribution to end users.
  • Maintain accurate records of purchases, deliveries and supplier interactions.
  • Work collaboratively with Procurement to ensure purchasing activity complies with policy and governance standards.
  • Identify opportunities to improve purchasing efficiency and supplier performance.

Logistics & Lifecycle

  • Support day-to-day operations of the IT Stock Room, including maintenance of an equipment inventory and monitoring of stock levels.
  • Coordinate courier services for inbound and outbound technology shipments.
  • Manage the retrieval of leavers’ equipment.
  • Support WEEE processes and recycling of IT assets.

Finance

  • Assist with cost recharging processes by providing accurate data and documentation, ensuring costs are correctly allocated to practices, teams and projects.
  • Assist in identifying areas for cost optimisation.
  • Provide accurate records of Capex allocation where capital assets are reallocated following purchase.

Other

  • Deputize for the Technology Purchasing, Cost & Contract Lead when required.
  • Undertake any other activities commensurate with the role’s duties and level of responsibility, as required.

Skills & Experience Required

  • Understanding of IT hardware, software, and procurement processes.
  • Experience in purchasing, logistics, or administrative coordination within a technology or operations environment.
  • Strong organisational skills and attention to detail.
  • Working knowledge of purchase order and inventory systems.
  • Effective communication and stakeholder management abilities.
  • Self-starter who can manage their own workload in a fast-changing environment.
  • Proactive attitude with a focus on accuracy, efficiency, and continuous improvement.
