Main Purpose of Role

The Building Manager will be responsible for the day-to-day operational management, acting as the on-site representative and a key point of contact for tenants and contractors. The role will focus on maintaining a safe, well-presented and efficiently managed building, coordinating maintenance and contractors, managing compliance requirements and responding to tenant needs.

Key Responsibilities and Deliverables

  • Manage the day-to-day operational activity and ensure the building is maintained to a good standard.
  • Act as the on-site representative and maintain good working relationships with tenants, contractors and other stakeholders.
  • Liaise with contractors attending site, coordinate works, monitor progress and ensure work is completed to the required standard.
  • Raise, allocate and follow up maintenance jobs, ensuring issues are progressed and closed out appropriately.
  • Carry out regular building inspections and identify maintenance, repair, presentation or compliance issues, escalating where appropriate.
  • Maintain accurate site records, including statutory testing, compliance documentation, contractor information and relevant building records.
  • Ensure Health & Safety and compliance requirements are met and that records and online systems are kept up to date.
  • Use CAFM systems effectively, with good working knowledge of eLogs and Vantify or similar systems.
  • Monitor contractors on site and ensure they comply with relevant site requirements, Health & Safety procedures and agreed standards.
  • Maintain a positive building image and ensure common areas and facilities are kept clean, safe and presentable.
  • Maintain good working relationships with tenants, respond to queries and ensure issues are communicated and followed through.
  • Work closely with the local estate agent in relation to office rental, viewings and the presentation of vacant accommodation.
  • Work closely with the wider Property and Asset Management team and escalate significant maintenance, compliance, tenant or contractor issues as required.

Knowledge and Expertise

  • Understanding of building and facilities management within a property environment.
  • Ability to build and maintain effective tenant, contractor, supplier and stakeholder relationships.
  • Good contractor management and coordination skills.
  • Ability to identify key issues during building inspections and take appropriate action.
  • Ability to use CAFM and other industry-specific IT applications effectively.
  • Working understanding of Health & Safety and compliance requirements.
  • Good problem-solving skills and the ability to prioritise and manage workload effectively.
  • Proactive approach, with good attention to detail and a practical attitude to resolving issues.
