We are seeking a friendly, organised and enthusiastic Office Administrator / Project Support Administrator

to provide temporary cover within our Chesterfield office for approximately 8 weeks.

This is an excellent opportunity for someone looking to gain experience in a busy office environment. The role offers exposure to office administration, project support, facilities coordination, and business systems, while working as part of a supportive and professional team.

The successful candidate will help ensure the smooth day-to-day running of the office, support employees and visitors, and provide administrative assistance to our project teams.

Main Responsibilities

Office Administration & Reception (Bilfinger Chesterfield Office)

  • Welcome visitors, contractors, and new starters to the Office.
  • Coordinate and distribute incoming deliveries and mail.
  • Scan and file delivery notes and associated documentation.
  • Arrange car hire bookings and travel requirements.
  • Order, manage, and distribute office supplies, including office refreshments.
  • Prepare and issue new starter packs, including employee access cards.
  • Issue visitor and employee parking permits.
  • Maintain office appearance including routine building checks.

Facilities & Building Support

  • Act as the site contact for service engineers and accompany contractors during planned maintenance visits.
  • Coordinate and support building service activities as required.
  • Register office vehicles and maintain car park records.

Project Administration

  • Support project teams with administrative activities.
  • Use SAP to raise purchase orders and process requisitions.
  • Assist the project teams with financial and management information as required.
  • Support the project teams to maintain accurate project records and documentation.
  • Support the project management team with general administrative and reporting requirements.

Time Management Administration

  • Input and maintain employee timesheet data within the company’s time management system.
  • Ensure timesheets are processed accurately and within required weekly deadline.
  • Assist employees and managers with timesheet queries when required.

Skills & Experiences

Essential

  • Good organisational skills and attention to detail.
  • Comfortable using Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong communication and interpersonal skills.
  • Ability to manage a variety of tasks and prioritise workload effectively.
  • Professional, reliable, and customer-focused approach.
  • Ability to work both independently and as part of a team.

Desirable

  • Previous experience in an office or administration role or similar.
  • Experience using SAP or similar Enterprise Resource Planning (ERP) systems.
  • Awareness of facilities or health and safety administration activities.
