Tenancy Progression Administrator

We are looking for a Tenancy Progression Administrator to work on our PRS platform focused on single family housing.

As a Tenancy Progression Administrator, you will play a key role in supporting the tenancy progression team to ensure a smooth and efficient journey from tenancy offer through to move-in. You will liaise with third-party suppliers and service providers to coordinate inventories, check-ins, cleaning services, and other tenancy-related requirements, helping to keep the tenancy cycle on track and ensuring deadlines are met.

The role will involve a variety of administrative duties, including raising and managing purchase orders, monitoring invoices, ensuring suppliers are paid within agreed timescales, maintaining accurate records, and updating internal systems. You will also support the wider team with reporting, document management, compliance checks, and other operational administration tasks.

Throughout the customer journey, you will be responsible for delivering a high standard of customer service, responding to tenant enquiries and directing customers to the appropriate departments where required. You will work closely with internal teams, external providers, tenants, and stakeholders to ensure all tenancy milestones are achieved efficiently and professionally.

Key Responsibilities

  • Coordinate tenancy progression activities from offer acceptance through to move-in.
  • Liaise with inventory clerks, check-in providers, cleaning contractors, and other third-party suppliers to schedule services and ensure completion within required timescales.
  • Raise, process, and track purchase orders.
  • Maintain accurate records and update internal systems, databases, and trackers.
  • Monitor and manage tenancy progression workflows to ensure targets and service levels are achieved.
  • Respond to tenant and supplier enquiries via phone and email, providing excellent customer service.
  • Support compliance and documentation requirements throughout the tenancy lifecycle.
  • Provide general administrative support to the tenancy progression and wider operations teams.
  • Undertake ad hoc administrative and operational tasks as required to support business needs.

Key Skills

  • Strong administrative and organisational skills with excellent attention to detail.
  • Experience working in a property, lettings, housing, customer service, or operations environment is desirable.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple priorities and work to deadlines in a fast-paced environment.
  • Confident using Microsoft Office applications and internal management systems.
  • Strong customer service focus with a professional and proactive approach.
  • Ability to work collaboratively with internal and external stakeholders.
  • Knowledge of lettings law is preferred but not necessary.
