Tenancy Progression Coordinator
Hours: 20 hours a week (Days to be agreed)
Location: Tower Bridge
Salary: £30,000 FTE - Part Time Salary will be Pro Rata
We are looking for an exceptional Coordinator to manage the end-to-end tenancy progression and tenancy swap pipeline from offer acceptance to move-in, ensuring all documentation, checks, and financials are completed within target turnaround times.
Main Duties
- Main point of contact for landlords, tenants, and branch during progression
- Progressing replacement tenancies and new tenancies in a timely manner ensuring documentation is produced to a high standard and accuracy and completed within required time frames.
- Make sure all files are compliant from the start. Compliance - ID checks and property documentation that is required.
- Manage referencing checks
- Prepare and send tenancy agreements and all required paperwork
- Make sure properties are compliant before move-in (GSC, EPCs, EICRs, Land registry, AML & sanction checks, etc.)
- Coordinate move-in dates, key releases, and handovers
- Chase outstanding actions.
- Deal with any issues that come up during progression
- Keep RPS check-list up to date on the system and make sure notes are clear and accurate
- Work closely with branch, property management, and accounts to ensure a smooth handover
- Provide clear guidance and regular progress updates to internal teams to support timely tenancy completion
- Check and complete files once tenants have moved in, confirm all details are correct, and send completions to accounts so landlords can be paid.
- Administrative tasks involved within a landlord changing, for example the property has been sold or transferral of ownership has occurred.
- Use CRM, document automation tools, and compliance platforms to ensure data integrity and audit trail completeness.
- Promote company services such as Rent Protection in a professional and trusted manner. Adhere to department minimum standards relating to time management, workload, and file accuracy.
