Tenancy Progressor

Location: South Kensington, London

Salary: £35,000–£40,000 per annum, depending on experience

Position: Full-time, office-based

Hours: Monday–Friday, 9:00am–6:00pm

Experience: Minimum 5 years' residential lettings/property experience required


About Romans & Partners

Romans & Partners is a London-based estate agency specialising in residential lettings, property management and sales, working with UK and international landlords and property investors.

We are looking for an experienced and highly organised Tenancy Progressor to join our South Kensington office.


The Role

The successful candidate must have a minimum of 5 years' experience within residential lettings, tenancy progression, property management or a closely related property role, with a strong understanding of the tenancy process and current lettings compliance requirements.

The Tenancy Progressor will take ownership of each tenancy from the point an offer has been agreed through to successful move-in and handover to the Property Management team.


Key Responsibilities

Once a Lettings Consultant has agreed a deal, you will take responsibility for progressing the file through to completion, including:

  • Reviewing agreed offers and ensuring all terms are correctly recorded.
  • Contacting tenants immediately following offer acceptance and managing the progression process.
  • Obtaining all required information and documentation from tenants.
  • Managing tenant and guarantor referencing from instruction through to completion.
  • Reviewing referencing results and identifying or escalating potential concerns.
  • Liaising with employers, previous landlords and referencing providers where necessary.
  • Coordinating and completing Right to Rent checks.
  • Preparing tenancy agreements and ensuring all agreed terms are accurately reflected.
  • Issuing agreements for signature and proactively chasing all parties.
  • Ensuring deposits and initial rental payments are received within the required timescales.
  • Coordinating deposit registration and Prescribed Information.
  • Working with Accounts to confirm all required funds have cleared before move-in.
  • Arranging inventories and check-ins.
  • Coordinating keys and move-in arrangements.
  • Providing tenants with all required move-in documentation and information.
  • Ensuring every tenancy file is complete before the tenancy commences.
  • Handing over completed tenancy files to the relevant Property Manager following move-in.

Compliance

A key responsibility of this position is ensuring that no tenancy proceeds to move-in unless all required compliance documentation is in place.

You will be responsible for checking and maintaining records relating to:

  • EPCs
  • Gas Safety Certificates
  • Electrical Installation Condition Reports (EICRs)
  • Right to Rent
  • Deposit protection
  • Prescribed Information
  • How to Rent Guides
  • Smoke and carbon monoxide alarm requirements
  • HMO, selective and additional property licensing where applicable
  • Any other statutory documentation required for the tenancy

Where documentation is missing, incorrect or approaching expiry, you will work with the relevant Property Manager to have the matter resolved before move-in.


Landlord & Tenant Communication

You will act as a central point of contact during the progression period and will:

  • Provide regular updates to landlords and tenants.
  • Respond promptly and professionally to queries.
  • Proactively chase outstanding references, documentation, signatures and payments.
  • Identify potential delays before they affect the tenancy start date.
  • Escalate material changes to agreed terms to the Lettings Negotiator or senior management.
  • Coordinate closely with Lettings, Property Management and Accounts.
  • Ensure landlords and tenants receive a professional and organised service throughout the progression process.

Experience & Requirements

A minimum of 5 years' experience within the residential property industry is required for this position.

The successful candidate should have:

  • At least 5 years' residential lettings/property experience.
  • Strong understanding of the complete residential tenancy process.
  • Previous experience progressing tenancy files from offer agreed through to move-in.
  • Good knowledge of tenant referencing and Right to Rent requirements.
  • Strong understanding of residential lettings compliance.
  • Experience dealing with tenancy agreements, deposits and prescribed documentation.
  • Excellent administrative and organisational skills.
  • Exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Confidence dealing directly with landlords and tenants.
  • Ability to manage multiple tenancy files and move-in dates simultaneously.
  • Ability to work effectively under pressure and meet strict deadlines.
  • A proactive approach to chasing outstanding information and resolving problems.
  • Good IT skills and experience using property CRM or management systems.

ARLA Propertymark qualifications are desirable but not essential.

This is not an entry-level position. We are looking for an experienced property professional who can take ownership of a busy tenancy pipeline with minimal supervision.

Once a Lettings Consultant has agreed the commercial terms of a deal, the Tenancy Progressor takes ownership of getting that tenancy successfully completed.

You should know exactly what stage every tenancy is at, what remains outstanding, who needs to be chased and what needs to happen next.

The objective is simple: every tenancy must be fully referenced, documented, compliant and financially ready before keys are released, while providing landlords and tenants with an efficient and professional experience from offer acceptance through to move-in.
