Timetable & Registers Officer
Department: MIS
Location: Liverpool
Compensation: £28,215 - £29,911 / year
Job Type: Permanent, 35 hours per week
Description
Key Responsibilities
- Develop and maintain specialised knowledge of the ProSolution Timetable module and offer guidance to service users.
- Develop and maintain a detailed understanding of the college curriculum timetable and specific requirements working in constant collaboration to embed good practice to enhance the student experience.
- Working in collaboration with stakeholders including Directors and Heads of School to produce accurate timetables and registers for students and staff by published deadlines.
- Maintain detailed understanding of funding rules in relation to guided learning hours, working in collaboration with wider MIS departments.
- To manage the complexities of work-based learning timetables and registers, including block release and ensure the data is accurate and produced in accordance with funding guidelines.
- Identify potential issues and act a link between departments to take remedial action to keep the college audit compliant.
- To work as part of the Timetabling team to provide basic training to new and existing members of staff on the use of the online timetabling system.
- Resolve timetabling and booking conflicts and seek solutions which will optimise allocation of appropriate space and improve user experience.
- Lead on processes for checking student timetables for accuracy and errors.
- Identify and resolve discrepancies linked to ungrouped learners through the monitoring of reports.
- Process ad-hoc booking requests, making amendments where necessary.
- Check timetables against planned hours and make recommendations to resolve discrepancies.
- Produce accurate reports to inform strategic decision making as and when required.
- Ensure registers are marked in line with policy and funding rules.
- Respond to queries and resolve any issues that arise.
- To liaise and negotiate with staff across the College as required.
Additional responsibilities
- To support other College wide activity such as enrolment and invigilation at peak periods.
- To participate in any other duty appropriate to grade and service needs as determined by management.
- To adhere to college policies and procedure including Safeguarding, Health and Safety, GDPR, Equality and Financial Regulations.
- To contribute fully to the mission and values statement of the College, ensuring its effective implementation in all aspects of College life.
- To participate in professional development, training, and appraisal processes.

Essential:
- Excellent administrative and organisation skills with attention to detail.
- Excellent computer literacy skills, including proficient use of Microsoft Office packages.
- Excellent skills in use of management information systems to complete skilled tasks and complex processes.
- Able to manage and prioritise own workload.
- Ability to analyse and manipulate data.
- Excellent customer service skills with a positive approach to change.
- Ability to guide others in the use of systems and processes.

- Minimum of Level 2 literacy and numeracy.

- Experience of working in a timetabling team in an education setting.
