Job Opportunity: Administrative Coordinator for Termination of Pregnancy Service

An exciting opportunity has arisen to join the Termination of Pregnancy service within Saint Mary’s Hospital Managed Clinical Service at Manchester University NHS Foundation Trust.

We are looking for a highly organised, motivated and compassionate individual to provide administrative, referral management, MDT coordination and data support to the Complex Termination of Pregnancy (CTOP) service. This is a key role supporting safe, timely and effective patient pathways across MFT and the wider North West Complex Termination of Pregnancy Network.

Key Responsibilities:

  • Provide administrative, referral management, MDT coordination, and data support to the Complex Termination of Pregnancy service.
  • Ensure referrals are received, reviewed, recorded, and progressed through the appropriate pathway in a timely and consistent manner.
  • Monitor referral platforms and shared inboxes, register patients onto Hive where required, maintain accurate referral trackers, book appointments or treatment where appropriate, and liaise with referrers, spoke centres, clinical teams, and administrative colleagues.
  • Support the weekly Termination of Pregnancy MDT by preparing agendas and proformas, collating relevant clinical information, maintaining accurate records of patients discussed, documenting outcomes and actions, circulating information to relevant stakeholders, and tracking actions through to completion.
  • Support urgent cases that arise between scheduled MDT meetings, ensuring timely communication and escalation where required.

Required Skills and Experience:

  • Strong organisational and communication skills.
  • Excellent attention to detail.
  • Ability to manage sensitive and confidential information with discretion and professionalism.
  • Confident using electronic systems, maintaining accurate records, supporting data quality, and producing information for audit, governance, reporting, and service improvement purposes.
  • Experience in NHS administration, referral management, patient pathway coordination, MDT support, meeting administration, or healthcare data processes.
  • Previous experience within women’s health, gynaecology, safeguarding, sexual health, maternity, or complex pathway services would be advantageous, although not essential.
