Role Purpose

To manage relationships with suppliers and service providers to ensure high-quality delivery of all components of all tours.

Key Responsibilities:

  • Manage tour logistics including transport, accommodation, sports fixtures, and excursions.
  • Coordinate bookings and relationships with suppliers including hotels, transport providers, sports venues, and activity partners.
  • Ensure high levels of customer satisfaction through proactive communication with suppliers.
  • Monitor and improve tour margins against original budgets. Identify opportunities for cost savings and service enhancements.
  • Assist the Operation Managers in driving financial performance, operations and reporting to wider team.
  • Assist in implementing operational processes that ensure safety, efficiency, and quality.
  • Involvement when negotiating contracts and service level agreements to ensure value and quality as appropriate.
  • Review costings & invoices when received, to ascertain profitability of tours whilst ensuring the viability of a tour’s logistics.
  • Report on tour margin performance, and operational KPIs for Operation Managers.
  • Collaborate with the operations department as a whole and across the departments/businesses.
  • Monitor supplier performance and ensure compliance with safety and service standards.
  • Maintain accurate records of supplier contracts, bookings, and feedback.
  • Support onboarding of new suppliers and ensure they meet safeguarding and operational requirements.
  • Work on ad-hoc projects and improvements to the operational processes.

Skills & Experience:

  • Experience in supplier management
  • Strong negotiation and relationship-building skills.
  • Knowledge of travel logistics and contract management.
  • Understanding of safeguarding and compliance in youth travel.
  • Demonstrate strong organizational skills and attention to detail.
  • Ability to work under pressure and drive robust decisions whilst problem solving.
  • Knowledge of travel logistics, risk management, and safeguarding.
  • Ability to manage multiple projects and stakeholders simultaneously.
  • Proficiency in CRM and tour management software.
