Select School Travel designs educational school trips across Europe and beyond, ranging from cultural city tours to ski adventures. For over 10 years, the company has helped schools deliver safe, enriching, and memorable experiences that extend learning beyond the classroom. We work closely with schools to tailor each trip to the group’s educational goals. With strong travel expertise and attention to detail, we manage all aspects so teachers can focus on students’ learning and enjoyment.
Job Role Summary
The Tour Coordinator role is a full-time, office-based (Burgess Hill) role responsible for organising and managing the logistical aspects of our ski trips and educational tours, including scheduling, transportation, accommodations, and on-site coordination. This role involves close collaboration with party leaders, suppliers, and colleagues to ensure all elements of the tours run super smoothly and align with our diverse itinerary options.

Key Responsibilities
- Delivering each trip through full cycle from confirmation to post-tour feedback
- Preparing detailed travel plans and itineraries
- Managing bookings
- Building and growing relationships with party leaders, colleagues, and suppliers
- Handling last minute changes or issues
- Processing booking amendments and cancellations
- Maintaining accurate records
- Producing accurate paperwork for each trip including itineraries, travel packs, and invoices
- Handling all questions and queries from Party Leaders on phone and email
- Assisting with group inspection visits
- Processing tour invoices
- Various administrative duties to support the wider team

Personal Requirements
- Superb communication, both spoken and written
- Warm interpersonal skills
- Exceptionally organised
- Hawks eye attention to detail
- Ability to work well under pressure in an evolving situation
- Friendly and professional telephone manner
- Sound knowledge of Microsoft Office
- Team-orientated approach to workload
- Willingness to go the extra mile
