Senior Trade Mark Administrator
London | Full-time | Hybrid
Our client is one of the UK's leading law firms for the creative and entertainment technology industries.
The Role
Reporting to the Head of Department, the Senior Trade Mark Administrator will join the Brand Protection administration team, delivering a highly efficient and high-quality administration service to both the team and clients.
Key Responsibilities
- Maintaining, updating and managing records on the trade mark and design management system, including monitoring incoming post and ensuring deadlines are uploaded
- Liaising with lawyers to ensure deadlines are met
- Producing schedules of trade mark and design portfolios
- Preparing renewal reports to obtain client instructions
- Producing daily diary reports
- Managing incoming correspondence, including saving to the document management system and acknowledging receipt
- Preparing and filing forms at the UKIPO and WIPO
- Preparing instructions to overseas attorneys on IP formality matters
- Preparing and reporting IP lifecycle updates to clients
- Checking and processing supplier invoices, including foreign and external counsel
- Supporting the brand protection team with the monthly billing process

Qualifications & Experience
You must be an experienced Trade Mark Administrator or Trade Mark Paralegal and have the following skills:

- Experience using IP records systems (e.g. WebTMS or RightHub) is ideal but not essential
- Intermediate Microsoft Office 365 skills (Word, Excel)
- Experience using document management systems
- Working knowledge of UKIPO and WIPO trade mark procedures and online portals
- Clear, confident communicator (verbal and written)
- Strong organisational skills with the ability to prioritise multiple demands while maintaining accuracy and attention to detail
- Comfortable working both independently and as part of a team
