Job Title
Our client is a well-established firm with a growing intellectual property practice and an international client base. The team manages substantial trade mark portfolios across multiple jurisdictions and is looking to add an experienced administrator who can provide high-quality support across a busy and varied workload. This is an opportunity to join a collaborative team where attention to detail, organization, and the ability to manage deadlines are particularly valued.
The successful candidate will have solid experience supporting trade mark portfolios and a good understanding of trade mark formalities. You will play an important role in maintaining accurate portfolio records, monitoring deadlines, and supporting the wider team with portfolio management, audits, and client-related work.
Responsibilities
- Manage trade mark records and ensure key deadlines, actions, and correspondence are accurately recorded
- Review correspondence from IP offices, overseas representatives, and clients, identifying any required follow-up
- Support the transfer and onboarding of new trade mark portfolios, including checking and validating existing data
- Assist with portfolio audits and due diligence exercises across different jurisdictions
- Prepare and maintain trade mark documentation, reports, and standard correspondence
- Carry out quality checks and help maintain consistent processes across the team
- Support colleagues with more complex administrative matters and share knowledge where appropriate
- Help coordinate workloads and ensure time-sensitive tasks are completed within required deadlines
- Work with colleagues and external contacts across different jurisdictions to resolve administrative and portfolio queries

- Previous experience in a trade mark administration or formalities-focused role
- Strong understanding of trade mark procedures and the practical requirements involved in maintaining international portfolios
- Experience working with sizeable or multinational trade mark portfolios
- Confident managing deadlines and prioritizing competing demands
- Strong attention to detail and a methodical approach to record keeping
- Good working knowledge of Microsoft Word and Excel, with strong general IT skills
- Excellent written and verbal communication skills
- Comfortable working independently while contributing effectively within a wider team
- Able to handle confidential information appropriately
- Experience with trade mark docketing systems would be advantageous
- CITMA qualification or relevant CITMA training would be beneficial
- Experience using WebTMS or similar IP management software would also be advantageous
