Company Description

AD Fuels has established itself as the largest hauler of Liquid Natural Gas & Compressed Natural Gas in the UK as it becomes the desirable replacement for diesel in the heavy haulage sector. Uniquely positioned as haulier of LNG, CNG, LC02 and Hydrogen. AD Fuels superb openings as new opportunities arise in alternative fuels. Working closely with Anaerobic Digestion facilities across the UK AD Fuels transport gases to end users and even pump it back into the grid network. We operate a specialist fleet of dedicated tankers, and all our drivers are highly trained and fully qualified in transporting hazardous materials in line with ADR requirements.

Job Summary

AD Fuels is seeking a highly organized and detail-oriented Traffic Control Scheduler / Customer Liaison Officer to work within our Transport Operations Centre. Working within a growing team; it will involve managing the day-to-day relationships with your dedicated client base, liaising with their operations team to deliver the daily scheduled activity and dealing with escalations as they arise. Support will need to be given for the preparation and approval of invoices.

Key Responsibilities

  • Day to day work on the scheduling and operation desk, working alongside Transport Manager, Logistics and Technical Solutions Manager to answer phone calls from both drivers and customers. Being reactive when needed and being the link between the drivers and customers.
  • Working in the team of Schedulers, coordinating vehicle contract allocations in line with customer bookings and planned maintenance requirements.
  • Planning and allocating all drivers - Also forward planning any absences with either changes of shifts or overtime.
  • Liaise with the Maintenance team to schedule the vehicle maintenance.
  • Daily liaising with customers and drivers; dealing with short notice requirements and scheduling queries.
  • Watching over the customer's planner before rolling out to the drivers to make sure they are in-line with compliance. Working with customers to change plans where necessary.
  • Collection of paperwork, correlating all requested customer paperwork and ensuring these are sent by deadlines.
  • Prepare internal and client reports, spreadsheets, and documentation as required.
  • Handle phone calls, emails, and correspondence related to transport and maintenance activities.
  • File and organize digital and physical records accurately.
  • Support invoicing, purchase orders, and expense tracking as needed.

Qualifications & Skills

  • 5 GCSE or equivalent, including English and Maths (additional administrative or technical training is a plus)
  • Previous experience in an administrative role with client liaison and logistics
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook, SharePoint, Teams)
  • Excellent communication skills, both written and verbal
  • Ability to multitask and work in a fast-paced environment
  • Attention to detail and accuracy
  • Ability to work independently and as part of a team

Work Environment

  • Office-based with regular interaction with driver community and maintenance personnel
  • May require occasional time in yard environments
