Traffic Desk Support Team Member

At Americold Whitchurch, we are looking for a Traffic Desk Support team member to help ensure the smooth day-to-day running of our transport operation.

This role provides both operational and administrative support to the Transport team, acting as a key point of contact between drivers, customers, and internal departments. You'll play an important role in managing delivery updates, driver debriefs, transport administration, and customer enquiries, helping to maintain high service levels and support the efficient delivery of our transport operation.

Working closely with the Transport Supervisor, Transport Management team, Customer Services, and drivers, you'll help ensure transport information is accurate, communication is effective, and operational issues are managed promptly and professionally.

Key Responsibilities

  • Take ownership of the delivery exceptions and late deliveries process, ensuring timely communication and updates across relevant departments.
  • Manage and monitor traffic desk communications, including mobile phones, emails, WhatsApp messages, and incoming customer enquiries.
  • Support the Traffic Desk Coordinator with daily operational activities and driver communications.
  • Assist drivers visiting the traffic desk and provide general operational support.
  • Manage and escalate delivery failures, ensuring reasons are accurately recorded within the Transport Management System (TMS).
  • Complete checks and sign-off processes for the 6-hourly trailer check sheet procedure (SOPL11).
  • Conduct transport debriefs for drivers returning to site.
  • Scan and upload signed Proof of Delivery (POD) documents into the TMS, resolving any missing or non-compliant paperwork.
  • Act as a main point of contact for customer ETA requests and POD enquiries.
  • Maintain accurate transport records, filing systems, and archived documentation.
  • Prepare and update transport reports and operational data as required by the Transport Management team.
  • Ensure all administration is completed accurately and within agreed timescales.
  • Support continuous communication between the Transport, Customer Services, and operational teams to ensure a high level of customer service.

Working Hours

Mon - Fri on a rota. Week 1 - 7am - 4pm. Week 2 - 9am - 6pm.

1 in 7 Saturdays, 8am - 2pm

1 in 3 Bank Holidays

What We're Looking For

Essential

  • Strong communication skills, including telephone, email, written, and face-to-face communication.
  • Excellent attention to detail and accuracy.
  • Positive and proactive attitude with a willingness to learn.
  • Ability to work effectively in a fast-paced environment.
  • Good organisational and time management skills.
  • Self-motivated with the ability to overcome challenges and prioritise workload.
  • Basic IT skills, including Microsoft Office applications.
  • Ability to work collaboratively as part of a team.

Desirable

  • Previous experience within a transport, logistics, customer service, or administrative environment.
  • Experience using transport management systems (TMS).
  • Understanding of transport operations and delivery processes.
