Role Summary

We’re looking for an energetic, fast-moving Trainee Accounts Assistant with excellent communication skills and a real pace. You’ll support day-to-day bookkeeping, bank reconciliations, VAT and payroll tasks across Xero, QuickBooks, and Sage. This is a hands-on training role with clear progression, ideal for someone who learns quickly, values accuracy, and excels in a fast-paced, client-facing environment.

What You’ll Do

  • Bookkeeping & Reconciliations: Process purchase/sales invoices, receipts and expenses; perform daily/weekly bank reconciliations across Xero/QuickBooks/Sage; maintain clean ledgers.
  • Payroll Support: Assist with UK payroll runs (weekly/monthly), including PAYE, RTI submissions, pensions auto-enrolment, starters/leavers, and basic journals.
  • VAT & Compliance: Prepare VAT returns, help with CIS summaries (if applicable), and maintain audit-ready records.
  • Month-End Assistance: Support accruals/prepayments, fixed asset registers, and trial balance reviews under supervision.
  • Client Service: Communicate promptly with clients to gather information, clarify queries, and provide status updates—clear, professional, and friendly.
  • Data Quality & Speed: Enter data quickly with high accuracy; flag anomalies and follow up proactively.
  • Process & Tools: Use Excel/Google Sheets (lookups, pivots), Dext/Hubdoc/AutoEntry (or similar) for data capture; help improve checklists and SOPs.
  • Ad-hoc Tasks: Support year-end packs, management accounts prep, HMRC correspondence drafting, and general admin.

What You’ll Bring

  • Software: Working knowledge of Xero, QuickBooks, and Sage (at least two hands-on; training provided on the third).
  • Payroll basics: Understanding of PAYE, RTI, and pensions; eager to deepen payroll knowledge.
  • Speed with accuracy: High typing/data-entry speed with meticulous attention to detail.
  • Communication: Excellent written and verbal communication; confident speaking with clients and colleagues.
  • Mindset: Active, reliable, and resourceful; able to manage multiple deadlines effectively in a fast-paced environment.
  • Education: AAT Level 2/3 (completed or studying) or strong practical experience; graduates welcome.

How We’ll Support You

KPIs You’ll Own in Your First 3–6 Months

  • Bank rec timeliness: 100% of assigned accounts reconciled within the agreed SLA.
  • Data accuracy: >99% accuracy on postings and VAT/payload data checks.
  • Client responsiveness: First reply within one business day.
  • Payroll deadlines: 100% on-time RTI submissions for assigned runs.

Working Pattern

  • Hours: 9:00–18:00, Mon–Fri, with flexibility during deadline peaks.
  • Location: RM13 8EU.
  • Job Type: Full-time

Pay

From £22,000.00 to 26,000.00 based on experience, per year.
