Summary
You will take day-to-day responsibility for the accuracy and integrity of data held on iSAMS, our Management Information System, working closely with the IT Department, academic staff, and the wider leadership team. Full training will be provided, but you will be precise, curious about systems, and comfortable learning new software quickly.
Wage: £15,000 a year

Hours: Monday - Friday, from 8.00am - 4.00pm, with an hour for lunch. 35 hours a week

Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
- Maintain the day-to-day accuracy of pupil, parent, and staff records held on iSAMS, ensuring data is entered, updated, and checked in a timely manner.
- Act as a first point of contact for staff queries relating to iSAMS, providing friendly, patient support and basic training.
- Support the annual rollover process, including timetable set-up, class and form allocations, and the transition into the new academic year.
- Produce routine and ad hoc reports (attendance, assessment, census, and other statutory returns) under the guidance of the Data Manager and IT Department.
- Assist with the production of pupil reports, working to agreed deadlines each term.
- Work alongside the IT Department on system integrations, user accounts, permissions, and troubleshooting, escalating technical issues as appropriate.
- Support compliance with data protection requirements (UK GDPR), helping to keep records secure, accurate, and appropriately retained.
- Assist with admissions data entry and the smooth transfer of information between the Admissions team and iSAMS.
- Undertake all required off-the-job training and coursework for the Level 3 Data Technician apprenticeship standard, attending college or training-provider sessions as scheduled.
- Carry out other reasonable administrative or data-related duties as directed by the Head, Bursar, or IT Manager.

What you'll learn
- Select and migrate data from already identified sources.
- Format and save datasets.
- Summarise, analyse, and explain gathered data.
- Combine data sets from multiple sources and present in format appropriate to the task.
- Use tools and/or apply basic statistical methods to identify trends and patterns in data.
- Identify faults and cleanse data to improve data quality, for example identifying gaps, duplicate entries, outliers, and unusual variances, including cross-checking across data elements or between data sources.
- Audit data results for maintenance of data quality, reviewing a data set once all sources are combined, to ensure accuracy, completeness, consistency, and traceability from original data.
- Demonstrate the different ways of communicating meaning from data in line with audience requirements.
- Produce clear and consistent documentation of the data provided to others and of actions completed.
- Store, manage, and distribute data in compliance with organisational, national, sector-specific standards, and/or legislation.
- Consider sustainability and ways to reduce impact.
- Operate collaboratively in a working context that accounts for, and takes advantage of, the roles, skills, and activities of others.
- Prioritise own activities within the context of the duties to be performed, taking account of any known or expected impact on others.
- Follow equity, diversity, and inclusion policies in the organisation for a common goal.
- Demonstrate the ability to use different tools and methods to formulate and utilise effective prompts to research, apply, and evaluate data transformation techniques.

Training schedule
This is a work-based apprenticeship with off-the-job training time given towards your learning. A work-based trainer will be assigned from the college to help support your learning journey.
Requirements
Essential qualifications:
- GCSE in: English (grade 4)
- GCSE in: Mathematics (grade 4)
Desirable qualifications:
- GCSE in: Business (grade 4)
- A Level in: Computing (grade C)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
