Training Centre Coordinator / Administrator

Are you an organised and customer-focused administrator who enjoys coordinating training programmes and supporting operational excellence? We are looking for a Training Centre Coordinator / Administrator to join our STMVA team and play a vital role in the successful delivery of training and requalification programmes across the organisation.

Working closely with the STMVA Director, you will provide comprehensive administrative and coordination support, while helping to ensure the smooth and efficient operation of the HatTec Training Centre.

You will be responsible for maintaining accurate training records, managing certification and compliance data, coordinating training activities, and supporting both internal and external stakeholders throughout the learner journey.

As a key member of the team, you will coordinate training and requalification programmes, ensuring courses are planned, organised, and delivered effectively. You will liaise with hospitals, trainers, delegates, accreditation bodies, and external organisations, providing a professional and responsive service that delivers a positive experience for all participants.

You will play an important role in maintaining training compliance and supporting accreditation requirements by ensuring records, documentation, and certification data are accurate, up to date, and readily available. You'll also be responsible for producing reports and management information, helping the team monitor performance, compliance, and training activity across the organisation.

In addition, you will support the day-to-day running of the HatTec Training Centre, coordinating facilities, equipment, resources, and logistics to ensure training sessions are delivered efficiently and to the highest standards.

Key Responsibilities

Course Coordination & Administration

  • Coordinate all STMVA and GSA trainer and re-qualification programmes.
  • Manage participant bookings, joining instructions and course documentation.
  • Produce and maintain course materials and training resources.

Administrative Support

  • Provide comprehensive administrative and coordination support to the STMVA Director and where required to the wider STMVA team.

Compliance & Reporting

  • Maintain accurate training records and certification databases.
  • Monitor qualification expiry dates and support compliance reporting.
  • Produce monthly reports and management information.

Stakeholder Support

  • Act as the primary point of contact for training enquiries.
  • Build effective relationships with hospitals, tutors and accreditation bodies.
  • Provide high-quality customer service to internal and external stakeholders.

HatTec Centre Coordination

  • Support the smooth running of HatTec facilities and resources.
  • Coordinate room bookings, equipment and training materials.
  • Maintain a professional learning environment.

Financial Administration

  • Raise purchase orders and process invoices.
  • Support administration of external course fees and associated budgets.

Continuous Improvement

  • Support audits, accreditation reviews and quality assurance activity.
  • Identify opportunities to improve administration and training processes.

Experience

To be successful in this role, you will need:

  • Previous experience in Administration role
  • Knowledge or experience of finance systems / payment processes
  • Experience within a training centre or a co-ordinating role within a Learning & Development environment.
  • Experience coordinating training programmes or events.
  • Experience maintaining databases and producing reports.
  • Experience managing multiple stakeholders.
  • Experience working in a regulated, compliance-focused environment (desirable).

  • Excellent written and verbal communication skills.
  • Ability to prioritise competing demands and meet deadlines.
  • Attention to detail and high levels of accuracy.
