Location: On-Site in our Liverpool HQ (North West, UK)

Contract: Permanent, Part-Time

Reporting to: Head of Training

Please note: You do not need to currently hold Security Check (SC) clearance, but you must be eligible and willing to undergo the vetting process.

About The Role

We are looking for a highly organised Training Support Administrator to assist in the management of the day-to-day operations of our customer training function. This role will play a key part in ensuring the smooth delivery of training to our customers across various formats, including on-site, online, and at customer sites.

You will be responsible for administrative tasks that support customer and employee development, operational excellence and compliance. You will collaborate with internal stakeholders, and external partners to ensure our customers and workforce receive timely, effective and engaging training. This role plays a key part in supporting the Training Co-ordinator and a team of trainers who deliver training. You will ensure our training sessions are well planned, effectively executed and meet the needs of diverse learners.

Key Responsibilities

Training & Operations Logistics

  • Provide comprehensive administrative support to the Training team, ensuring the smooth day-to-day operation of training activities.
  • Welcome delegates on the first day of each course by managing the training reception desk, ensuring a professional and positive customer experience.
  • Communicate training schedules, changes and updates in a timely and professional manner.
  • Ensure trainers and materials (physical or virtual) are prepared and available.
  • Ensure onsite facilities are stocked with refreshments and ready for clients arrival.
  • Manage enquiries via email and telephone relating to current and future training courses, providing accurate information and directing customers as required.
  • Maintain accurate records of training activities, attendance, feedback and certification where applicable.
  • Provide excellent customer service and support to all training participants.
  • Ensure all administrative activities are completed in accordance with company policies, quality standards and information security requirements.

Communication Management

  • Liaise with internal departments and external customers to support the successful delivery of training programmes.
  • Work with marketing and communications to ensure alignment in messaging and branding.

System & Calendar Management

  • Maintain and update training calendars, ensuring accurate visibility across departments.
  • Utilise training management systems (TMS) to schedule, coordinate, and track all training activities, including session logistics, attendee registration, trainer assignments and resource allocation.
  • Use CRM tools to manage customer data, track engagement, and monitor leads and opportunities related to training courses.
  • Act as point of contact for troubleshooting and resolving issues with the TMS and CRM platforms, coordinating with technical support as needed.

Process Improvement

  • Gather feedback from training sessions to support continuous improvement in content, delivery, and customer satisfaction.
  • Contribute to continuous improvement by identifying opportunities to enhance administrative processes and customer service.

Sales & Marketing

  • Conduct outreach via phone, email and other communication channels to promote upcoming training opportunities, maximise attendance and fill available spaces.
  • Manage the ordering, inventory and distribution of training merchandise and branded materials.

Contracts and Financial Administration

  • Prepare and issue invoices and other course-related documentation in line with company procedures.
  • Liaise with internal finance and contracts teams to ensure timely approval and payment of external trainers, venues and suppliers.
  • Undertake any other reasonable duties as directed by Managers.

Requirements

Skills:

  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Confident communicator with excellent written and verbal communication skills.
  • Customer-focused with a professional and friendly approach.
  • Able to prioritise multiple tasks in a busy environment.
  • Proficient in Microsoft Office (Word, Excel, Outlook and Teams).
  • Able to work independently while contributing effectively as part of a team.

Experience:

  • Experience supporting training or learning activities would be advantageous.
  • Experience in an administrative, logistics or customer service role is desirable.
  • Familiarity with managing shared mailboxes, scheduling tools, and task tracking systems is desirable.
