We are looking for an organised, friendly and proactive Training Support Administration Assistant to join our team.
This is a varied role at the heart of our training operations, providing administrative and practical support to help ensure our scheduled and in-house training courses and exams run smoothly. From preparing course materials and supporting our trainers to getting our training facilities ready and looking after delegates during their time with us, you’ll play an important part in delivering the high standard of service our customers expect from VWA.
Key Responsibilities
Course Administration
- Prepare course materials, including course notes, handouts, participant lists, sign-in sheets and trainer documentation.
- Prepare and check materials for in-house courses and arrange their timely dispatch to client premises or delegate addresses.
- Confirm course materials have arrived safely and on time.
- Send pre-course information and Zoom details where required.
- Complete pre-course checklists and ensure all necessary documentation is ready.
- Keep course records and in-house training spreadsheets accurate and up to date.

Trainer Support
- Prepare and dispatch trainer binders for new trainers.
- Provide trainers with the relevant course resources and Zoom recordings.
- Send trainers the documentation they need for upcoming courses each week.
Classroom & Delegate Support
- Prepare the training room and kitchen ahead of classroom courses.
- Help ensure training and delegate areas remain clean, tidy and well presented throughout the day.
- Ensure bathroom facilities are stocked and ready for delegates.
- Liaise with local restaurants and cafés to arrange delegate lunches and table bookings.
- Ensure dietary requirements are catered for when arranging lunches and refreshments.
- Accompany delegates to lunch when required.
General Administration
- Answer incoming telephone calls and direct enquiries and sales leads to the appropriate member of the team.
- Maintain and update records within VWA’s internal systems, including our CRM systems.
- Maintain the print room whiteboard and complete daily VWA checklists.
- Provide general administrative support to the wider team as required.

You’ll ideally be:
- Organised with excellent attention to detail.
- Friendly, approachable and confident communicating with customers, delegates, trainers and colleagues.
- Able to prioritise and manage a varied workload.
- Reliable and comfortable working independently as well as part of a team.
- Proactive, practical and willing to get involved wherever support is needed.
- Comfortable using email, spreadsheets and computer-based systems.
- Committed to providing excellent customer service.
Previous experience in an administrative or customer-facing role would be beneficial, but training will be provided on VWA’s systems and processes.
Role Details
- Job title: Training Support Administration Assistant
- Location: Office-based role in Skipton
- Contract: Full-time 6 month contract which may become permanent
- Hours: Monday to Friday, 9am to 5pm
- Salary: Salary will commensurate with experience
- Closing date: 18th September 2026
