The Role
The Transaction Manager will support the operational delivery and continued growth of SmartSAR, Shoosmiths' technology-enabled Subject Access Request (SAR) solution.
Working closely with Partners, Product Leads, clients and third-party providers, the role will coordinate the end-to-end operational delivery of SmartSAR matters, ensuring transactions progress efficiently, operational reporting is maintained and clients receive an exceptional service.
As SmartSAR continues to grow, this role will become the operational owner of the service, helping to create a scalable and consistent delivery model while enabling fee earners to focus on higher-value legal work.
Key Responsibilities
Product & Operational Support
- Coordinate the end-to-end operational delivery of SmartSAR matters from instruction through to completion.
- Manage and maintain the live SmartSAR pipeline.
- Coordinate activity between clients, legal teams, vendors and delivery partners.
- Monitor matter progress and proactively chase outstanding actions.
- Maintain operational trackers, dashboards and management information.
- Identify opportunities to improve and standardise operational processes and support the effective use and ongoing development of SmartSAR.

Financial & Commercial Administration
- Prepare SmartSAR quotations for approval.
- Track supplier invoices and support payment processes.
- Maintain operational reporting and commercial metrics.
- Support financial administration relating to SmartSAR transactions.
Client & Supplier Coordination
- Act as the operational point of contact for SmartSAR enquiries.
- Coordinate client communications throughout the lifecycle of each matter.
- Liaise with third-party providers.
- Coordinate supplier activity and monitor service delivery.
- Escalate operational, legal or technical issues where appropriate.
Quality Assurance & Continuous Improvement
- Carry out quality assurance checks on SmartSAR delivery outputs.
- Undertake document review and redaction activities where required.
- Maintain operational audit trails and documentation.
- Monitor recurring issues and recommend process improvements to support the continued growth of SmartSAR.
Essential
REQUIRED SKILLS & EXPERIENCE
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Strong stakeholder management skills.
- Comfortable working with spreadsheets, trackers and reporting.
- Proactive, adaptable and able to work independently.
- Experience in operations, administration or transaction coordination.

Desirable
- Experience within legal or professional services.
- Knowledge of Subject Access Requests (SARs) or data protection processes.
- Experience working with workflow or case management systems.
- Experience producing management information and operational reporting.
