About Our Opportunity
We’re looking for an organised, proactive and detail-focused Transport Administration Coordinator to provide dedicated administrative and compliance support to the regional transport operation.
The role will provide essential support across transport administration, fleet compliance, operational reporting, supplier management and driver support. Working closely with Transport Management, Planners, Fleet, Engineering, suppliers, contractors and drivers, you’ll help ensure that records are accurate, compliance requirements are met and operational issues are followed through effectively.
The role will also help reduce the administrative burden on Transport Planners and Management, allowing them to focus on planning, customer service, operational performance and strategic activity.
This is an important role in supporting the continued development of an efficient, compliant and well-organised transport operation.
What You Will Be Doing
Transport Administration and Compliance
- Management and monitoring of vehicle defect sheets, ensuring defects are recorded, followed up and appropriately closed out.
- Administration and tracking of vehicle wheel retorque records.
- Filing and monitoring of PMI, MOT, defect rectification paperwork and associated actions.
- Administration of the Tranzaura compliance system, including report generation, monitoring and follow-up actions.
- Maintaining accurate electronic filing systems, databases, compliance records and management information.
- Maintaining audit records and supporting GDPR compliance requirements.
- Liaising with Fleet regarding routine vehicle maintenance, defects and repair requirements.
- Supporting the Transport Management team with compliance reporting, audits and operational administration.

- Dedicated note-taking and record management for investigations, Meetings of Concern and disciplinary processes.
- Ensuring documentation is consistent, accurate, confidential and maintained in line with company procedures.
- Supporting Transport Management with the preparation and administration of meetings, investigations and associated paperwork.
- Maintaining accurate records of actions and ensuring agreed follow-up actions are monitored.
Revenue Protection and Business Support
- Recording and reporting wasted journeys to identify trends, operational issues and opportunities for revenue recovery.
- Supporting supplier orders, bin repairs, equipment procurement and distribution.
- Administration of uniform ordering and distribution.
- Maintaining accurate filing systems, reports and management information.
- Liaising with suppliers and contractors to resolve routine queries and ensure actions are followed through.
- Monitoring and responding to transport-related email queries, escalating matters to Planners or Management when required.
- Providing additional customer and driver support for routine operational enquiries during periods of high workload.
Operational Support and Efficiency
- Providing dedicated administrative support to the Transport Management and Planning teams.
- Assisting with transport huddles, driver briefings and Great Place to Work meetings.
- Supporting the production of reports, meeting notes, feedback documentation and associated actions.
- Helping improve consistency, accuracy and timeliness across compliance reporting, audits and operational administration.
- Maintaining accurate transport records and ensuring information is readily available when required.
- Supporting communication between drivers, Planners, Transport Management, Fleet and other central departments.
- Identifying recurring administrative or operational issues and supporting improvements to processes and working practices.
- Helping to reduce the administrative workload across the transport function, enabling operational leaders and Planners to concentrate on service delivery and performance.
Future Development and Succession Planning
This role will provide a structured development pathway for an individual looking to progress within the transport function, with the potential to develop towards transport planning in the future.
The position will allow the successful candidate to develop operational knowledge from the ground up while gaining practical experience.
By developing a strong understanding of the transport operation, the role will support succession planning within the region and help create a strong internal talent pipeline for future transport planning and management positions.
About You
We’re looking for someone who is organised, proactive and able to work accurately in a busy operational environment.
You will have:
- Previous experience in an administration, business support, transport or coordinator role.
- Strong organisational and record-keeping skills.
- Excellent attention to detail and accuracy.
- The ability to manage multiple tasks and prioritise effectively.
- Strong communication and stakeholder management skills.
- Proficiency in Microsoft Office, particularly Excel, Outlook and Word.
- The ability to maintain confidentiality when dealing with sensitive information.
- A proactive approach to identifying issues and following actions through to completion.
- The ability to work effectively with drivers, Transport Planners, Management, Fleet, suppliers and contractors.
- The confidence to escalate issues when required.
- A willingness to learn and develop knowledge of transport operations and compliance.
