Transport Co-Ordinator – Duties and Responsibilities

  • Responsibility for the day-to-day operations of the transport department.
  • Efficiently managing, monitoring, and developing a team of drivers and vehicles to help effectively deliver our building supplies.
  • Ensure all drivers perform daily vehicle checks including tyres, indicators, lights, wheel nuts, and that they record any advice faults on the ‘Drivers Daily Defect Sheets’.
  • Check all defect sheets, file by vehicle if there are no defects, and retain for 15 months. If defects are detected, organize rectification and note action taken on the defect sheet.
  • Maintain a wall planner to record dates of vehicle inspections, load tests, and MOT’s.
  • Organize 4-6 weekly tyre checks by a competent company and keep a record of the check on each vehicle file, as well as ensuring vigilance when distributing loads to maximize the life of tyres and H&S reasons.
  • Ensure you and the driver check loads before leaving the yard to ensure they are safe, not overloaded, and if they are, decide which load to take off while maintaining an efficient, cost-effective route.
  • Record details of all new drivers, retain a copy of the driving licence, and send a copy to HR.
  • Keep a record of driver Digicard details and ensure these have been uploaded on a weekly basis into the Tachomaster system through the RHA system.
  • Ensure drivers’ hours are in line with current legislation.
  • Advise drivers of any infringements or faults and highlight to BD/BM any issues that have arisen.
  • Ensure drivers are aware of procedures involving accidents. If a vehicle is involved in an accident, the driver (provided they are uninjured) should take photographs of the incident/damage, complete the Insurance Partnership accident form as soon as possible following the incident. The completed form should be sent to Hull Transport for reporting to the insurance company. Ensure the driver is fit for work before they drive again.
  • Ensure all drivers wear the necessary PPC as issued.
  • Ensure the Route Planner is constantly updated and ready for drivers to load vehicles for the following day through the Kerridge (K8) system.
  • Call all 1st drops night before delivery.
  • Responsibility for all the dispatching and tracking of delivery vehicles as well as ensuring routing is done to allow vehicles to return to the site as quickly and efficiently as possible to maximize the number of deliveries per day.
  • Re-schedule deliveries where necessary and make sure customers are aware of any new delivery dates/times – communication is key.
  • Ensuring company compliance of all transport policies, legislations, and procedures to do with tachographs.
  • Involvement in strategic development and improvements.
  • Ensuring that all vehicles are properly maintained and serviced as well as regularly checked that they are clean and tidy.
  • Ensure vehicles are loaded safely, check every delivery with the driver to ensure the load is correct before leaving the yard.
  • Maintain accurate administrative records.
  • Responsibility for all Health & Safety (H&S) issues of the fleet through the Opus system.
  • Transport coordination of internal deliveries with yard supervisor.
  • Liaising with yard operatives to ensure correct products, quantities, locations, and timings.
  • KPI report to review monthly with BD/BM.
  • MKM delivery management daily reviewing for correct postcode and contact details.
  • Liaising with the Yard Manager.

Site Safety Advisor & Operation – Duties and Responsibilities

  • Required to support the BD/BM in discharging their H&S responsibilities.
  • Required to work alongside the Yard Foreman/Supervisor to ensure the site is run correctly, legally, and safely at all times.
  • Supporting the branch in keeping Opus up to date with the relevant inspections, training certificates, work equipment service records, etc.
  • Reporting hazards, risks, or unsafe practices which they become aware of through day-to-day work activities and in consultation with work colleagues.
  • Regular liaison with the Branch Director/Branch Manager and work colleagues on H&S matters either directly or through a H&S Committee.
  • Coordinating H&S training in the branch/dept (i.e., employee inductions, e-learning, etc).
  • Supporting the branch and Central Support Teams with the control of contractors on site.
  • Undertaking regular H&S inspections of the branch and work equipment and reporting any issues to the Branch Manager.
  • Undertaking and reviewing risk assessments in liaison with the BD/BM and, where relevant, other work colleagues.
  • Supporting the management team with accident investigation and reporting.
  • Ensuring company compliance of all warehouse/yard policies, legislations, and procedures as well as taking responsibility for H&S issues of the warehouse/yard.
  • Managing, monitoring, and developing a team of warehouse/yard staff.
  • Involvement in strategic development and improvements.
  • Ensuring housekeeping is well maintained, including excellent external presentation of our branch.
  • Maintain accurate administrative records.
  • Keep records of holidays, sickness, and ensure they are recorded on Tachomaster which has its own calendar.
  • Always wear correct PPC as issued by work or as necessary for all types of handling goods, e.g., correct gloves.
  • Ensure safety procedures are adhered to when operating forklift trucks.
  • Providing excellent standards of service, efficiency, and performance.

HGV HIAB cover as required – Duties and Responsibilities

  • Cover HIAB vehicle as required through unforeseen circumstances or as seen fit through holiday periods.
  • Vehicle Operation: Obey all traffic laws and weight restrictions.
  • Safety & Maintenance: Complete daily walkaround checks (tyres, brakes, lights), report defects, and ensure the vehicle is roadworthy.
  • Load Security: Ensure all goods are safely loaded, distributed, and secured (e.g., using ratchet straps) to prevent shifting or damage during transit.
  • Compliance: Strictly follow UK driving hours, working time directives, and tachograph regulations.
  • Logistics & Paperwork: Complete delivery notes, update logbooks, obtain Proof of Delivery (POD) signatures, and use hand-held devices or tablets for navigation and tracking.
  • Customer Service: Interact professionally with warehouse staff and clients during loading, unloading, or handovers.
