About The Role
Transport Planning Administrator
Location: Leeds
Department: Logistics
Hours: 40 hours per week, with flexibility to support operational requirements
Keep our vehicles moving, our records accurate and our customers informed.
Panda is looking for a Transport Planning Administrator to join our logistics team in Leeds. You’ll support the daily coordination of drivers, vehicles and customer requirements, helping collections and deliveries run safely and efficiently.
This is a role for someone who enjoys keeping a busy operation organised. You’ll need to stay on top of the detail, communicate clearly and respond quickly when plans change.
What You’ll Do
- Support daily planning: Help Transport Planners allocate drivers, vehicles and work, supporting efficient routes and effective use of resources.
- Keep track of progress: Monitor routes throughout the day, flag delays and service issues, and communicate changes to drivers.
- Maintain accurate systems: Update transport planning records, ensuring jobs are recorded correctly and closed once completed.
- Manage transport paperwork: Prepare driver manifests and route sheets, process delivery and waste transfer notes, and maintain vehicle and driver records.
- Keep customers informed: Handle telephone and email enquiries, provide collection and delivery updates, and help resolve or escalate service queries.
- Support transport compliance: Help monitor driver hours, working time requirements, vehicle defects, MOTs and servicing schedules, recording and escalating issues promptly.
- Maintain safety records: Record accidents, incidents and near misses in line with company procedures, supporting Operator Licence requirements, DVSA regulations and safe working practices.
- Provide administrative support: Raise purchase orders, process supplier documentation and maintain organised filing systems.
- Support performance reporting: Compile fuel, vehicle utilisation and KPI data to help the team monitor service, efficiency and costs.
- Work across the operation: Coordinate with planners, drivers, workshops, Customer Services and Operations, supporting colleagues during absences and busy periods.

What You’ll Bring
- Previous administration experience in a transport, logistics or operational environment.
- GCSE Grade C/4 or above, or equivalent, in English and Maths.
- Good IT skills, particularly Microsoft Outlook and Excel.
- Experience handling large volumes of information accurately.
- Strong organisation and attention to detail, with the ability to prioritise competing tasks and meet deadlines.
- Clear communication skills and a professional, helpful approach to drivers, customers and colleagues.
- A dependable, proactive approach, with the flexibility to respond to changing operational needs.
Useful Additional Experience
- Experience using transport planning or fleet management systems.
- Experience in waste management.
- Knowledge of UK geography and route planning.
- Understanding of Operator Licence requirements, driver hours legislation and transport compliance.
- A transport or logistics qualification, CPC qualification or relevant transport training.
- Data analysis and reporting skills.
