About the opportunity
Via is partnering with an established logistics and environmental services business looking for a Transport Planning Administrator to join its busy Leeds operation.
You'll support the day-to-day running of the transport function, helping planners coordinate drivers, vehicles and routes while keeping records accurate and customers informed.
This is a varied operational role where priorities can change quickly. You'll be speaking with drivers, updating schedules, preparing paperwork, monitoring vehicle information and helping resolve issues as they arise.
What you'll be doing
- Support Transport Planners with the daily allocation of drivers, vehicles and work
- Help ensure routes and resources are planned efficiently
- Monitor routes throughout the day and flag delays or service issues
- Communicate schedule changes and updates to drivers
- Maintain accurate transport planning and job records
- Prepare driver manifests and route sheets
- Process delivery documentation and waste transfer notes
- Maintain vehicle and driver records
- Handle customer enquiries by phone and email
- Provide collection and delivery updates
- Help resolve or escalate service issues
- Assist with monitoring driver hours and working time requirements
- Keep track of vehicle defects, MOTs and servicing schedules
- Record accidents, incidents and near misses
- Support transport compliance and Operator Licence requirements
- Raise purchase orders and process supplier documentation
- Maintain accurate and organised filing systems
- Compile fuel, vehicle utilisation and KPI information
- Work closely with planners, drivers, workshops, Customer Services and Operations
- Provide additional administrative support during busy periods

What we're looking for
- Previous administration experience, ideally within transport, logistics, distribution, fleet or another operational environment
- Strong organisation and attention to detail
- Confidence working in a busy environment where plans can change throughout the day
- Good Microsoft Office skills, particularly Excel and Outlook
- Ability to process large amounts of information accurately
- Good written and verbal communication skills
- Confidence speaking with drivers, customers and colleagues
- Ability to prioritise competing tasks and meet deadlines
- Dependable and proactive approach
- Comfortable solving day-to-day operational problems
- GCSE English and Maths at Grade 4/C or above, or equivalent

Previous transport experience is useful but doesn't need to come from waste management. Candidates from logistics, distribution, delivery, fleet, warehousing or other transport-led businesses are encouraged to apply.
Useful additional experience
- Transport planning or fleet management systems
- Route planning and good knowledge of UK geography

- Driver hours and working time regulations
- Operator Licence or DVSA requirements

- CPC or another transport/logistics qualification
