Travel Coordinator

We are currently seeking an experienced and talented Travel Coordinator to join our high performing team.

REPORTING TO: Office Manager

LOCATION: Head Office, Newry

CONTRACT TYPE: Full-Time, Permanent

HOURS: Monday – Friday (8am-5pm Monday-Thursday, 8am-2.30pm Fridays)

Role Responsibilities

  • Booking and managing international flights and accommodation
  • Airport transfers, car hire and other travel arrangements
  • Coordinating travel across multiple projects and countries
  • Managing changes, cancellations and last-minute requirements
  • Maintaining travel schedules/trackers and ensuring the relevant project teams have clear itineraries
  • Liaising with employees, project teams, hotels, airlines and travel providers
  • Monitoring bookings and travel costs and looking for efficiencies where possible
  • Providing general administrative support to the Office Manager and wider business as required.
  • Maintaining accurate travel records, documentation, and employee travel databases.
  • Processing travel-related invoices and assisting with cost reconciliation.
  • Preparing travel reports and providing regular updates on travel expenditure and booking activity.
  • Ensuring travel documentation, visas, passports, and other requirements are up to date where applicable.
  • Managing and monitoring shared travel inboxes and responding to queries in a timely manner.
  • Maintaining supplier relationships and liaising with travel providers to secure competitive rates.
  • Assisting with the development and implementation of travel procedures and best practices.
  • Supporting project mobilisations by coordinating travel logistics for new and existing projects.
  • Undertaking other administrative duties as required to support the efficient operation of the business.

The Candidate

Qualifications & Experience

Essential:

  • Minimum 2 years' experience in a Travel Coordinator, Travel Administrator, Office Administrator, Project Coordinator, or similar role.
  • Proven experience coordinating high-volume travel arrangements, including international flights, accommodation, car hire, and transfers.
  • Experience working in a fast-paced environment with the ability to manage multiple priorities and tight deadlines.
  • Strong proficiency in Microsoft Office applications, particularly Outlook, Excel, and Word.
  • Excellent organisational and administrative skills with a high level of accuracy and attention to detail.
  • Experience maintaining records, trackers, and databases.
  • Attention to detail and accuracy
  • Ability to work under pressure and to strict timescales
  • Demonstrates excellent time management and prioritisation of workload
  • Ability to work on own initiative

Desirable:

  • Experience within the construction, engineering, manufacturing, logistics, or facilities management sectors.
  • Experience coordinating travel across multiple European locations.
  • Knowledge of travel booking systems and online travel management platforms.

Additional information

All candidates must have the Right to Work in the UK and in the Republic of Ireland at the time of application. Proof of this will be required for any candidate who is successful in the role.

This role will at time to time, require working in other locations, including construction sites or at client offices. A degree of flexibility is therefore required.
