Travel Coordinator

Employment Type: Full-Time

Level: Entry-Level to Mid-Level

We are seeking an organized and detail-oriented Travel Coordinator to manage and coordinate travel arrangements for employees, clients, groups, or tourism-related activities. This role ensures that transportation, accommodation, itineraries, documentation, and travel schedules are arranged accurately and efficiently.

🎯 Key Responsibilities

  • Coordinate domestic and international travel arrangements including flights, hotels, ground transportation, and activities.
  • Prepare and maintain detailed travel itineraries, schedules, confirmations, and travel documentation.
  • Liaise with airlines, hotels, travel agencies, tour operators, transportation providers, and other travel partners.
  • Manage travel bookings, amendments, cancellations, and rescheduling requests.
  • Monitor travel schedules and proactively communicate changes, delays, or disruptions.
  • Assist travelers with travel-related inquiries and provide timely support before and during trips.
  • Coordinate group travel arrangements for meetings, events, conferences, business trips, or tourism programs.
  • Ensure travel documents, visas, permits, and other required arrangements are completed where applicable.
  • Track travel expenses, invoices, reimbursements, and supplier payments.
  • Maintain accurate records of bookings, traveler information, expenses, and travel policies.
  • Support corporate travel policies and ensure bookings comply with approved budgets and procedures.
  • Prepare travel reports, expense summaries, and performance reports for management.
  • Assist with travel-related projects, events, and administrative activities as required.

✅ Requirements

  • Experience in travel coordination, tourism, hospitality, administration, events, or customer service is preferred.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Strong attention to detail and accuracy when managing bookings and travel documents.
  • Ability to manage multiple itineraries, bookings, and deadlines simultaneously.
  • Familiarity with airline, hotel, travel agency, or booking platforms is an advantage.
  • Knowledge of travel documentation, visa requirements, and international travel procedures is a plus.
  • Proficiency in Microsoft Office and common online booking and communication tools.
  • Strong problem-solving skills and ability to respond calmly to travel disruptions.
  • Ability to work flexible hours, weekends, or public holidays when required.
  • Diploma or Bachelor's degree in Tourism Management, Hospitality, Travel Management, Business Administration, or a related field is preferred.
