🛠️ We’re Hiring: Travel Project Coordinator 📍 Remote (United Kingdom) 🕒 Full-Time 💼 Level: Entry-Level / Junior / Associate 💰 Base Salary: £3,000+ per month
We’re looking for a highly organised, proactive, and detail-oriented Travel Project Coordinator to support the planning, coordination, and delivery of projects across the travel and tourism industry. This role is ideal for someone who is passionate about travel, tourism, project coordination, events, operations, and customer experiences, and who enjoys managing timelines, communicating with different stakeholders, and ensuring projects are delivered smoothly and efficiently.
🎯 Key Responsibilities
- Support the planning and coordination of travel and tourism projects from initial concept through completion
- Assist with developing project plans, timelines, schedules, task lists, budgets, and deliverables
- Coordinate travel projects including tours, travel programmes, destination initiatives, promotional campaigns, events, and industry activities
- Work closely with Travel Consultants, Marketing, Operations, Sales, Product, and Partnership teams
- Coordinate with hotels, airlines, tour operators, transport providers, attractions, guides, suppliers, and other travel partners
- Track project tasks, deadlines, milestones, approvals, and outstanding actions
- Organise project meetings, calls, presentations, workshops, and stakeholder updates
- Prepare project documents, schedules, presentations, reports, spreadsheets, and supporting materials
- Maintain accurate project records, databases, booking information, supplier details, and documentation
- Assist with travel arrangements, accommodation, transportation, activities, venues, and other project requirements
- Coordinate supplier confirmations and ensure all arrangements are completed on time
- Support changes, amendments, cancellations, and last-minute project requirements
- Monitor project progress and highlight potential delays, risks, or operational issues
- Follow up with internal teams and external partners to ensure deadlines and deliverables are met
- Assist with project budgets, quotations, invoices, purchase orders, and financial documentation
- Collect project feedback and assist with evaluating project performance and customer satisfaction
- Prepare post-project reports and identify opportunities for improvement
- Stay informed about travel industry developments, destination trends, events, and emerging opportunities

✈️ Travel & Event Coordination
- Assist with organising group travel, familiarisation trips, corporate travel programmes, tourism events, exhibitions, and industry activities
- Coordinate flights, accommodation, transfers, activities, venues, schedules, and supporting services
- Prepare detailed itineraries, schedules, briefing documents, travel packs, and participant information
- Communicate with suppliers and participants to confirm arrangements
- Assist with on-the-day coordination and troubleshooting when required
- Ensure travel and event details are accurate, organised, and communicated clearly
🤝 Stakeholder Coordination
- Build positive working relationships with internal teams and external travel partners
- Coordinate communication between customers, suppliers, consultants, project teams, and management
- Follow up on outstanding information, approvals, bookings, and deliverables
- Ensure stakeholders are kept informed of project updates and changes
- Assist with resolving routine coordination issues and escalate complex matters when necessary
📊 Project Administration & Reporting
- Maintain project trackers, timelines, action lists, budgets, and documentation
- Monitor project performance against agreed deadlines and objectives
- Assist with preparing progress reports and management updates
- Track project costs and support budget monitoring
- Maintain organised digital project files and records
- Assist with collecting feedback, performance data, and project outcomes
- Identify process improvements that can increase efficiency and project quality
✅ Requirements
- Entry-Level / Junior / Associate with 0–3+ years of experience
- Degree, diploma, or equivalent practical experience in Travel, Tourism, Hospitality, Project Management, Business, Marketing, Communications, or a related field is a plus
- Strong interest in travel, tourism, project coordination, events, and operations
- Excellent written and verbal English communication skills
- Strong organisational and time-management abilities
- Excellent attention to detail and accuracy
- Strong coordination, follow-up, and problem-solving skills
- Ability to manage multiple projects, tasks, stakeholders, and deadlines
- Confident communicating with customers, suppliers, partners, and internal teams
- Comfortable using Microsoft Office, Google Workspace, spreadsheets, project management tools, and CRM systems
- Familiarity with travel booking systems or project management platforms is a plus
- Basic understanding of travel products, destinations, accommodation, transportation, and tourism services is advantageous
- Ability to remain calm and organised when dealing with changing requirements or tight deadlines
- Strong willingness to learn and develop within the travel industry
- Comfortable working independently and collaboratively in a remote environment
- Based in the United Kingdom with the legal right to work in the UK
