About Aqua Dental Clinic
Aqua Dental Clinic is an established private dental practice in Hatch End, North-West London. We provide general, cosmetic and implant dentistry, with a particular passion for helping nervous patients feel comfortable accessing dental care.
We're growing and are looking for an exceptional Patient Care & Treatment Coordinator to become an important part of our team. This isn't simply an administrative role. You'll take ownership of the patient journey — helping people from their first enquiry, through consultations and treatment planning, to starting treatment and ongoing care.
The role
You'll be responsible for creating a warm, organised and seamless experience for our patients.
Your responsibilities will include:
- Responding to new patient enquiries
- Building rapport with patients
- Coordinating consultations for treatments
- Explaining treatment journeys, fees and payment options clearly and confidently
- Following up patients after consultations and treatment plans
- Managing patient enquiries and follow-up through our CRM
- Keeping accurate records of conversations, outcomes and follow-up
- Working closely with our dentists, reception team and Practice Manager
- Contributing to an exceptional patient experience throughout the practice

Who we're looking for
We're less interested in finding someone who simply ticks every box on a CV and more interested in finding someone with the right attitude and ability.
You'll ideally be:
- Exceptionally warm and confident with people
- Proactive and naturally take ownership
- Highly organised with excellent attention to detail
- An excellent communicator, both verbally and in writing
- Emotionally intelligent and able to reassure anxious people
- Comfortable discussing treatment costs and significant financial decisions
- Persistent with follow-up while remaining respectful and empathetic
- Professional and well presented
- Comfortable learning new systems and technology
- Someone who notices what needs doing rather than waiting to be asked
Experience
Previous dental experience is welcome but not essential. We would particularly like to hear from:
- Existing Dental Treatment Coordinators
- Experienced private dental receptionists looking to progress
- Patient Coordinators or Patient Advisors from private healthcare
- Candidates from aesthetics, dermatology, cosmetic medicine or similar environments
- Exceptional candidates from luxury hospitality, jewellery, premium retail or other high-level customer-facing roles
