JOB TITLE: Implementation Admin Assistant
SALARY: £31,380
LOCATION(S): Watford
HOURS: Full-time
WORKING PATTERN: Our work style is hybrid, which involves spending at least three days per week, or 40% of our time, at our Watford office. During the training period, we do ask new starters to be in the office 5 days a week until they are competent and fully trained. About this Opportunity
This role provides essential support to the Sales Support team, helping to coordinate customer implementations, scheme launches and ongoing scheme administration. The Implementation Admin Assistant plays an important part in ensuring schemes are set up accurately, documentation is managed effectively and internal teams receive timely, reliable support throughout the onboarding process and beyond.

What you'll need
- Self-motivated, proactive and confident using initiative and a strong team player with the ability to collaborate effectively across departments and build positive working relationships

- Excellent written and verbal communication skills with confident and competent in using Word, Excel and new systems or processes being able to work independently
And any experience of these would be really useful
- Experience of working collaboratively with Business Development, Implementation, Client Success, Credit Management and other teams to provide accurate cross-departmental administrative support for scheme onboarding and post-launch activity, ensuring tasks are completed within agreed timescales.
- Strong organisation, time-management and prioritisation skills to coordinate onboarding activity for new customer schemes, including credit requests, sanction checks and system set-up requirements.
- Accurate, detail-focused and committed to high-quality work to raise contractual agreements for internal review and arranging documents for customer review and signature and save signed legal agreements and maintaining accurate customer records across internal systems, including Back Office, Fleet Desk and Salesforce, so information is accessible to relevant teams and aligned with scheme requirements.
- Experience of process map and tailoring it to each customer's specific requirements, ensuring relevant scheme information is clearly documented and available throughout the life of the scheme; and supporting customer and driver portal set-up, including branding, configuration and required scheme information.
- Manage monthly reschedules, re-writes and early termination reports for an Employee Benefit Provider's customers, ensuring accurate and timely delivery. Coordinate motor insurance set-up with brokers and accident management providers for new customers.
- Manage invoicing requirements and payment terms reporting for new customers, liaising with internal teams to ensure requirements are understood and actioned.
- Support existing customers with second scheme set-up, including full schemes and affiliate arrangements.
- Prioritise workload effectively, balance competing deadlines and use initiative to progress tasks and resolve queries where possible. Provide project support across Sales Support activity and contribute to continuous improvement.
